Can payroll subscription for online quickbooks be used for desktop quickbooks

My client has Qbooks online with payroll subscription.  We are in the process of moving them to desktop.  Can the subscription number be used in the desktop version or do we have to apply for a new subscrition

Thanks for dropping by the Community, KayT27

I’ll share some information about the payroll subscriptions for QuickBooks Online and Desktop.

QuickBooks Online (QBO) and QuickBooks Desktop (QBDT) are two different products of QuickBooks. The payroll subscription number for QBO can’t be used in QBDT so you’ll need to purchase payroll service designed for QBDT program.

You can activate QBDT Payroll by purchasing it either from the web or retail store. Depending on the features your client need, he can choose from Basic, Enhanced or Assisted Payroll. You can visit the QBDT Payroll services and features for your reference.

You’ll need to enter the service key that comes by e-mail after purchasing the payroll service from the web. Here’s how:

  1. From the top menu bar, select Employees.
  2. Select Payroll , then choose Enter Service Key.
  3. Click the Add button in Manage Service Key window.
  4. Enter your Service Key and click Next.
  5. Confirmation message will pop up that your payroll service has been activated.
  6. Click Finish.  QuickBooks will download the latest tax table and verify your payroll subscription.

You can check out the activate QBDT Payroll purchased from the web/phone article for more information.

Here’s how to enter the service key after purchasing the payroll service from the retail store:

  1. From the top menu bar, select Employees.
  2. Select Payroll, then choose Install Payroll from Box.
  3. Complete the fields in the Payroll License and Product Information page.
  4. Click Continue.
  5. Complete the fields in the Payroll Company Legal Information section.
  6. Read the disclaimer in the Billing Information section. Enter the payment and contact information needed.
  7. Click Continue.
  8. Log in to your Intuit Account.
  9. Click the Start Payroll button in the Confirmation.

You can go through the activate a payroll service purchased from a retail store article for your additional guidance.

Please know that I’m just a post away if you need further help in activating QBDT Payroll. Just remember, we’ve always got your back. Thank you for choosing QBDT Payroll as your payroll partner, KayT27.

People come to QuickBooks Learn & Support for help and answers—we want to let them know that we're here to listen and share our knowledge. We do that with the style and format of our responses. Here are five guidelines:

  1. Keep it conversational. When answering questions, write like you speak. Imagine you're explaining something to a trusted friend, using simple, everyday language. Avoid jargon and technical terms when possible. When no other word will do, explain technical terms in plain English.
  2. Be clear and state the answer right up front. Ask yourself what specific information the person really needs and then provide it. Stick to the topic and avoid unnecessary details. Break information down into a numbered or bulleted list and highlight the most important details in bold.
  3. Be concise. Aim for no more than two short sentences in a paragraph, and try to keep paragraphs to two lines. A wall of text can look intimidating and many won't read it, so break it up. It's okay to link to other resources for more details, but avoid giving answers that contain little more than a link.
  4. Be a good listener. When people post very general questions, take a second to try to understand what they're really looking for. Then, provide a response that guides them to the best possible outcome.
  5. Be encouraging and positive. Look for ways to eliminate uncertainty by anticipating people's concerns. Make it apparent that we really like helping them achieve positive outcomes.
