Please do not confuse updating to a new release (example: from QuickBooks Desktop 2016 R3 to R5) with upgrading to a new version (example: from QuickBooks Desktop 2015 to QuickBooks Desktop 2016).

You can use either:
  1. Manual Updates
  2. Automatic Updates

Find your current version and release

  1. With QuickBooks Desktop open, press the F2 key (or, alternatively, Ctrl + 1) on your keyboard. 
  2. In the Product Information Window, check the current version and release.
  3. To determine the version of your data manager on your server:
    1. Click the Window Start button.
    2. Click Programs.
    3. Click QuickBooks.
    4. Click QuickBooks Database Server Manager.
    5. Click the Updates tab.  The Database Server Manager version is contained in the first line of the text.

Download and install updates

You can choose to manually or automatically download and install updates to your QuickBooks Desktop. The following are the options available for both.

Note: Updating to a new release (example: R3 to R5) sometimes needs to make minor changes in the database. These changes will not make the data file incompatible with earlier releases.

Manual Update

Option 1: Use the download links below

Select the appropriate download link for your version of QuickBooks Desktop below. Please note, if you are using Internet Explorer, you may see a security message saying "This type of file could harm your computer" or "The signature of this program is correct or invalid". If you see this message, you can try using another Internet browser.

    1. When the download has completed, double click to install file. You may need to restart Windows after the installation is complete.
    2. You can install manual updates across your network either by:
    3. Accessing the install file on your computer from another computer.
    4. Copying the install file to a flash drive and then to the desktop of another computer.

Option 2: From within QuickBooks Desktop

  1. From the File menu, click Close Company/Logoff.  Note: If you open multiple company files in QuickBooks Desktop, you have to do this step for every company file that is open.
  2. Click File > Exit.
  3. Right-click the QuickBooks Desktop icon on your desktop.
  4. Click Run as administrator.
  5. Make sure you are in the No Company Open screen. (If there is a company file open, from the File menu, click Close Company)
  6. From Help menu, choose Update QuickBooks Desktop.
  7. Click the Options tab.
  8. Select the Mark All button then click Save.
  9. Click the Update Now tab.
  10. Click Reset Update then click the Get Updates button.
  11. When the Update Complete message appears, close QuickBooks Desktop.
  12. Open QuickBooks Desktop. If you get the message to install update, click Yes.
  13. When the installation is complete, restart your computer.

Automatic Update

Option 1: Download and install automatic update NOW

  1. From the QuickBooks Help menuclick Update QuickBooks.
  2. In the Update QuickBooks window, go to the Update Now tab.
  3. Ignore the table, you do not need to change anything there.
  4. (Optional) Put a check mark in the box labeled Reset Update to erase all previous update downloads.  Note: This may increase the amount of time needed for the update.
  5. Click the Get Updates button.
  6. The current release will download and you will need to restart QuickBooks Desktop to install the update.
  7. When restarting QuickBooks Desktop, accept the option to install the new release.

Option 2: Download automatically in the future

  1. From the QuickBooks Help menu, click Update QuickBooks.
  2. In the Update QuickBooks window, go to the Options tab.
  3. To turn on automatic updates, select the radio button for Yes.
  4. (Optional) To share automatic downloads with other computers on your network, select the radio button for Yes.
  5. Click Close. Now your QuickBooks Desktop will download the update when it is released.
