Change User ID and Password

You can change your user ID and password by going into your QuickBooks Online company. Choose the situation below that applies to you, and follow the steps. If you have multiple companies and you want to consolidate under one user ID and password, see How do I consolidate my companies under one user ID?.

Changing  your user ID from one email address to another:

  1. Sign in to QuickBooks Online at https://qbo.intuit.com.
  2. Click the Gear Icon in the upper right and click Your Account at the top right of the screen. 
  3. Go to the Personal Info then click the blue Edit Personal Info button. 
  4. Scroll down to the Sign in Info section and click Change.
  5. A pop-up window may open, click Continue and sign in again and then enter a Confirmation code that is sent to your current email address. For more information on this additional sign in requirement, see  Why do I need to sign in again to change my account information?.  
  6. If the pop-up window requiring a new sign in doesn't display, then click Email Confirmation Code.
  7. Check the inbox for your old email address. You will receive an email from donotreply@quickbooks.com.
    Note:  If you don't have access to the old email address, see Email Change Request Process
  8. Copy the confirmation code from the email and return to the pop-up window or Sign-In Info section.
  9. Paste the confirmation code into the first field, or carefully type the code if you were unable to copy it from the email.
  10. Enter your new email address and current password.
  11. Click Save.

Note: Your new email address must be one that we currently do not have on file. If you see an error message at the top of the screen stating that the email address you chose is not available, you will need to pick a different email address and follow the steps again until your chosen email address is accepted. 

If you receive an error that the confirmation code is expired, then that particular confirmation code is no longer valid.  In most cases, this is because the Email Address Reset Request window was closed or a new code was generated which voids previous codes. Use the latest code that was generated.

  1. Below the email address field, click to uncheck the box Send Intuit Promotional Offers to me and select Yes or No depending on the type of contact you prefer. 
  2. Make sure to save those changes once you've completed this section.


To change your password:
  1. Sign in to your QuickBooks Online company at https://qbo.intuit.com
  2. Click the Gear Icon >Your Account at the top of the screen. 
  3. Go to the Personal Info section and click the blue Edit Personal Info button. 
  4. Scroll down to the Sign in Info section and click Change. 
  5. Enter the new password into the New password field, retype the new password to confirm it, and enter the old password.
  6. Enter a password hint.  (This step may not be required). 
  7. Click Save.

If your user ID is your email address and you want to change it to a non-email user name:

The Master Administrator or a Company Administrator will need to add you as a new user by following these steps: 

  1. Click the Gear Icon> Manage Users.
  2. Click the New button.
  3. Select the type of user access and click Next
  4. Enter the email address and name, then click Next.
  5. Complete the screens until you get to the last one, and then click Finish.

Once you click Finish, an email will be sent to the user added. Have the user read the email, and then click the link to accept the invitation.

Once added as a new user the Master Administrator or Company Administrator will need to delete the old user access.

  1. Click Gear Icon > Manage Users.
  2. Click to highlight your old user access.
  3. On the right click Delete.
  4. When the message: Are you sure you want to delete? appears click Yes.

Note:  These steps will also have to be taken if you are changing the user ID for the Master Administrator.  You would then have to transfer the Master Administrator role to the new user and delete the old user.  For instructions on how to transfer the Master Administrator role, see Transfer the Master Administrator role.

If the user ID being deleted has any Memorized Reports associated with it, they will be lost by deleting this user ID and will have to be recreated.

(Note: This does not work for QuickBooks Online Simple Start accounts since there is only one user).
