
View, email, and customise payslips in QuickBooks Online Advanced Payroll

Payslips in QuickBooks Online Advanced Payroll are available once a pay run is finalised. Learn how to view, email, print, customise, and add notes to payslips.

Viewing payslips
Payslips are only able to be viewed on finalised pay runs. This screen is handy if you have employees that prefer to have their payslips handed to them manually.
You can view payslips in QuickBooks Online Advanced Payroll through two methods:
- Option 1: Go to Payroll, then Pay Runs. Hover over the pay period, and the Payslips button will appear.
- Option 2: Alternatively, select the Pay Runs tab, choose the required date, and select Payslips from the pay run actions bar.
- Once selected, a dropdown will appear with these options:
- All payslips – View all employee payslips.
- Manual notifications – View only payslips for employees who do not receive email or SMS notifications.
You can also filter by Locations to view payslips for specific work locations.
To print, select View Payslips, then choose Download Payslips for a PDF version.
Note: P45 information from previous employment will not be available here.
Emailing payslips to employees
QuickBooks allows you to send payslips to employees in just a few steps. You can email payslips when finalising a pay run or send/resend them later.
Note: QuickBooks does not support password-protected payslip emails. However, employees can access secure payslips through the employee portal.
- Go to Payroll, and select the Pay runs tab.
- Open the pay run.
- When you're finalising the pay run, select Make payslips available to employees now.
- Select the date you want the payslips to be accessible to your employees.
- Finalise the pay run and then select Publish Payslips.
Your employees will get a notification letting them that their pay has been processed.
- Go to Employees.
- Select the employee to want to send the payslip to.
- Select Payslips.
- Choose the specific month for with you want to send the payslip.
- You can Email or Download the payslip.
To check if payslips notifications have been sent:
- Go to the employee's settings.
- Select Pay run defaults.
- Set the payslip notification to Email.
- Go to the employee' details and check if their email address is correct.
To enable bulk sending of employee payslips, you have to set up the email address for which the payslips are to be sent from. To set up the sender email address, follow the steps below:
- Go to Payroll, then select Payroll Settings.
- Select Payslips.
- Under From email address subsection, enter your preferred email address, then Save.
Due to the sensitive nature of payroll information that will potentially be sent from these email addresses and the likelihood of the emails being treated as spam, we have placed restrictions on the email domains that are allowed. The restricted domains are:
- Yahoo
- Gmail
- Googlemail
- Outlook
- Hotmail
- Bigpond
You may be able to enter an email address with a restricted domain but the sender email will be default to noreply@yourpayroll.co.uk. If you prefer to use your own email address, follow the steps as stated above to update your sender email address.
Editing payslip notifications
You can personalise payslip email notifications to include custom text, links, or different fonts.
Add a custom message to your payslip notification emails. This message is included within the email body, separate from the payslip document.
- Go to Payroll, then Payroll Settings.
- Select Payslips.
- Select Edit to change the email notification template.
- From here, you can personalise the message, change the font of the text, add links and more.
Set the 'From' email address for payslip notifications. This allows employees to easily reply with any pay-related questions or queries.
- Go to Payroll, then Payroll settings.
- Select Email notification templates.
- Next to Payslip notification email, select the pencil icon.
- Enter the new email address. If left blank, QuickBooks will use the business contact email.
- Select Save.
All other outgoing payroll emails will be sent from the email listed in Payroll Settings > Contact Email Address.
Printing payslips
- Go to Payroll, select the Pay runs tab.
- Open the pay run.
- In the pay runs actions, select Payslips.
- Choose between All payslips or Manual notifications.
- Use Locations to filter payslips by employee location if needed.
- If you select Manual notification, select View payslips. This will let you to view and print payslips for employees who need a physical copy.
- If you prefer a PDF version, select Download payslips.
Customising payslips
QuickBooks allows you to customise payslips by adding a business logo, hiding units, and adjusting section visibility.
You can upload an image to use as a logo on your payslips. To do this:
- Go to Payroll Settings, then Payslips.
- Select the blue Choose a Logo button under the Business Logo heading.
- A second window will pop up. Click Select File.
- You are then able to browse your computer files for an appropriate image.
Note: Images must be in .gif, .jpg or .png format. We recommend dimensions of the logo is no larger than 150px by 350px.
- In Payroll Settings, under Pay Run Settings, select Pay Categories.
- Choose the Pay Category you wish to edit.
- Under Penalty Loading, tick 'Hide Units on Payslip'.
- Save.
- Show leave accruals – Display or hide accrued leave.
- Show employee external ID – Show or hide manually assigned IDs.
- Show line notes – Enable or disable line notes (does not hide payslip notes).
- Web Format – Standard online payslip.
- Z-Fold Format – Alternative for older z-fold payslips.
Adding notes to payslips
You can add one-off or recurring notes to payslips. Note: These notes will appear only on the relevant payslip.
Add a note to the individual employee from within the pay run:
- In the pay run, select the employee's name.
- Enter your note in the "Notes for this pay run" field.
Tip: If you select and drag the corner of the box, you can expand it to make more space. - Select Save when you're done.
To add a recurring note to an employee's payslip:
- Go to the employee's record.
- Select Payslips.
- Enter the note or message in the "Payslip message" field.
- Select Save.
