Problem

When entering time on paychecks, or setting up sick and vacation time balances, or accrual rates, the time format changes when clicking a different field from, for example, the Line Item field. You can also use the Tab button to move your cursor to a different field.

This is a result of entering, for example, 10:30 for ten and a half hours while set to decimal notation and QuickBooks Desktop Payroll changes the numerals to 10.5 or vice versa.

To fix

To set the format for time entries in QuickBooks:

  1. Click Edit > Preferences.
  2. Click General on the left side, and then click on the Company Preferences tab.
  3. Under Time Format select either Decimal (10.20), or Minutes (10:12).
  4. Click OK.
  • Decimal QuickBooks automatically interprets time entries as decimal fractions. For example, when you enter 4:30, QuickBooks converts your entry to 4.5 (4 and one-half hours).
  • Minutes QuickBooks automatically interprets time entries as hours and minutes. For example, when you enter 4.5, QuickBooks converts your entry to 4:30 (4 hours and 30 minutes).
