You can change the payroll administrator, payroll contact or primary principal on your QuickBooks Desktop Payroll Assisted account by completing and faxing a form to Intuit. If you have access, you may be able to change the Payroll Administrator within the QuickBooks Payroll Account Maintenance Pages.

What's the difference between a Payroll Administrator, Primary Principal, and Payroll Contact?

  • The Payroll Administrator is the company's main contact person for day-to-day payroll issues and activities. The Payroll Administrator should be someone who is authorized to process payroll for the company, who has access to all the company's payroll information, and who can answer questions on behalf of the company principal regarding payroll details.
  • The Primary Principal is usually the owner of the company and has the power to provide authorization for major account changes.
  • A Payroll Contact is limited to asking "How do I" questions about QuickBooks Assisted Payroll, and does not have access to information about the employees or the company.

How do I change the Payroll Administrator on my account?

Only one payroll administrator is allowed per account, therefore you will need to delete the existing administrator in order to add the new one. You can change your payroll administrator in your QuickBooks Account Maintenance pages. For instructions, see: Update Payroll Administrator/Contact Information in QuickBooks.

If you cannot access your Account Maintenance pages or would rather download and fax in the form, follow the steps below.

  1. Complete the Account Changes form. The Primary Principal on your payroll account must authorize this change.

  2. Click to create a case and upload your completed and signed form to Intuit. Follow the on-screen instructions.

How do I change the Primary Principal for my company?

  1. Complete the QuickBooks Desktop Payroll Assisted Primary Principal Packet.
    Note: This form will open in Adobe Reader. The length of time it takes to download depends on your Internet connection speed.
  2. Click to create a case and upload your completed and signed packet to Intuit. Follow the on-screen instructions.

Note: Intuit's goal is to process and complete your request within 2 business days of receiving your documents. Intuit will contact you if additional information is required to complete your request. After your information is updated in our system, your primary principal contact information is automatically updated in QuickBooks the next time you go online and send your payroll data.

You will be required to provide your Social Security number and date of birth on the Primary Principal change form.  Federal law and our banking partners require us to collect this information and we can't process your change without it.  Intuit protects this information according to our security policy. Intuit may share this information with trusted third parties for screening purposes, and when we do so, we encrypt and transmit it securely.

How do I change the Payroll Contact on my account?

  1. Complete the Accunt Changes form. The primary principal on your payroll account must authorize this change.

  2. Upload the completed form to the Quickbooks Desktop Payroll Assisted Document Portal.

There is no limit to the number of contacts you can have on your account.
