If you need to export your data from QuickBooks Online, you can do so from the product. This is fairly simple and easy to do.

Reports that can be exported in one step

  • General ledger
  • Journal
  • Balance sheet
  • Profit and Loss
  • Trial Balance

Lists that can be exported in one step

  • Customers
  • Employees
  • Suppliers

Export your Reports and Lists data

  1. Log into the QuickBooks Online company that you want to export the data from.
  2. Select the Gear icon at the top right, then select Export Data.
  3. On this page, you can choose which reports and lists you want, as well as your date range.
  4. If there is a report or list that you do not want to export, you can toggle the on/off slider.
  5. Once you've selected what you need, select the Export to Excel button.

Note:

  • All data will be exported in a zip format.
  • The export function has a selection of columns turned on by default. To add more columns, run the respective report via the Report tab on the left and export from there.
  • All reports in QuickBooks Online can be exported to Excel. If you need more data than what's provided under the Export feature, go to Reports on the left menu, search for the applicable report(s) and export.

Non-posting transactions and attachments:

All transactions that have been posted to your books (for example, invoices, receipts, bills etc.) will be exported if you follow the steps to export Reports and Lists above. The steps below are to export information that is not included in Reports and Lists.

Estimates

  1. Select Sales from the left menu.
  2. Select the All Sales tab at the top.
  3. On the All Sales page, click on the Filter button.
  4. Under Type, choose Estimates. Select your date range and any other filters you need, then click Apply.
  5. To the right, click on the Export to Excel icon.

Purchase Orders

  1. Select Expenses from the left menu.
  2. Select the Expenses tab at the top.
  3. On the Expenses page, click on the Filter button.
  4. Under Type, choose Purchase Order. Select your date range and any other filters you need, then click Apply.
  5. To the right, click on the Export to Excel icon.

Customer Statements

  1. Select Sales from the left menu.
  2. Select the All Sales tab at the top.
  3. On the All Sales page, click on the Filter button.
  4. Under Type, choose Statements. Select your date range and any other filters you need, then click Apply.
  5. To the right, click on the Export to Excel icon.

Attachments

  1. Select the Gear icon at the top right, then select Attachments.
  2. On this page, select the attachments you want to export.
  3. Click on the Batch Actions button and choose Export.

Note: Your attachments will be exported in a zip format.

Recurring Templates

  1. Select Reports from the left menu.
  2. Search for Recurring Template List report.
  3. Click on the Export icon.

Chart of Accounts:

  1. Select Reports from the left menu.
  2. Choose Account List.
  3. Select the Export to Excel icon, in between the print and gear icons, to export.

Products and Services:

  1. Select Sales from the left menu.
  2. Select Product and Services at the top
  3. Select the Export to Excel icon, in between the print and gear icons, to export.
