You can easily export reports, lists, and non-posting transactions and attachments from Quickbooks Online.

Export your reports and lists data

Here's how to export your reports and lists data:

  1. Select the Gear icon on the Toolbar, then select Export Data.
  2. On this page, you can choose which reports and lists you want, as well as your date range.
  3. If there is a report or list that you do not want to export, you can toggle the on/off slider.
  4. Once you've selected what you need, select the Export to Excel button.
Note:
  • All data will be exported in a zip format.
  • The export function has a selection of columns turned on by default. To add more columns, run the respective report via the Report tab on the left and export from there.
  • All reports in QuickBooks Online can be exported to Excel. If you need more data than what's provided under the Export feature:
    1. From the left menu, select Reports.

    2. Search for the applicable reports
    3. Select the Export icon under the Toolbar.

Non-posting transactions and attachments

The following steps are for exporting information that is not included in reports and lists.

Estimates

  1. From the left menu, select Sales, then choose All Sales.

  2. Locate and open the Balance Sheet report.

  3. Under Type, select Estimates.
  4. Select your date range and any other filters you need, then select Apply.

  5. Choose Export to Excel

Purchase Orders

  1. From the left menu, select Expenses then Expenses.

  2. On the Expenses page, select the Filter button.
  3. Under Type, select Purchase Order.
  4. Select your date range and any other filters you need, then select Apply.

  5. Choose Export to Excel

Customer Statements

  1. From the left menu, select Sales, then choose All Sales.

  2. Locate and open the Balance Sheet report.

  3. Under Type, select Statements.
  4. Select your date range and any other filters you need, then select Apply.

  5. Choose Export to Excel

Attachments

  1. Select the Gear icon on the Toolbar, then select Attachments.
  2. On this page, select the attachments you want to export.
  3. Select the Batch Actions button and select Export. (Note: Your attachments will be exported in a zip format.)

Recurring Templates

  1. From the left menu, select Reports.

  2. Search for the Recurring Template List report.
  3. Choose Export to Excel

Chart of Accounts

  1. From the left menu, select Reports.

  2. Select the Account List.
  3. Choose Export to Excel

Products and Services

  1. From the left menu select Sales, then choose Products and Services.

  2. Choose Export to Excel
