Learn how to  make updates to business information in online payroll.

To successfully update business information such as legal filing name and federal or state EIN in online payroll, you will need to

  1. Deactivate the e-services feature.
  2. Update business information:
    • Update federal or state EIN
    • Update filing name
  3. Re-enroll in e-services and send a new authorization form.

We show you how.

Deactivate the electronic services feature

You will get an error message when you update your business information without deactivating your electronic services first.

To deactivate e-services:

QuickBooks Online Payroll

  1. Select the Gear icon on the Toolbar, then Payroll Settings.

  2. Select E-file and e-pay.
  3. Select Manually with paper coupons.
  4. Select Next.

Intuit Online Payroll

  1. Select the Setup tab, then Updated Electronic Services.
  2. Select Add/Edit Electronic Services. Then Continue.
  3. Select No, I want to manage my payroll taxes outside of my payroll account.
  4. Select Continue.

Update business information (federal or state EIN)

Correct your feral or state EIN. If this is a change of entity, see About changing your business entity for assistance.

To update the federal or state EIN:

QuickBooks Online Payroll

  1. Select the Gear icon on the Toolbar, then Payroll Settings.

  2. Under Taxes, select Federal Taxes or State Taxes.
  3. Enter the EIN. Then select OK.

Intuit Online Payroll

  1. Select the Setup tab.
  2. Under Taxes, select Federal Taxes or State Taxes.
  3. Enter the EIN. Then select OK.

Update business information (legal filing name)

Update your legal filing name if you have previously entered the incorrect one.

To update the filing name:

QuickBooks Online Payroll

  1. Select the Gear icon on the Toolbar, then Payroll Settings.

  2. Under Taxes, select General Tax Information.
  3. Enter the correct Filing Name. Then OK.

Intuit Online Payroll

  1. Select the Setup tab.
  2. Under Taxes, select General Tax Information.
  3. Enter the correct Filing Name. Then select OK.

Re-enroll in electronic services and send a new authorization form

Change of business information such as filing name and federal or state EIN, requires you to send a new authorization form to activate the e-services feature again.

To re enroll and send authorization form:

QuickBooks Online Payroll

  1. Select the Gear icon on the Toolbar, then Payroll Settings.

  2. Select E-file and e-pay.
  3. Select E-pay and e-file (recommended).
  4. Select Next to proceed with the e-services interview.
  5. Select Print and Sign to view and print the authorization form.
  6. Print, sign, and fax the forms, or contact Payroll Support for assistance.

Intuit Online Payroll

  1. Select the Setup tab > Updated Electronic Services.
  2. Select Add/Edit Electronic Services. Then select Continue.
  3. Select Yes, I want to electronically pay and file my payroll taxes through my payroll account.
  4. Select Continue to proceed with the e-services interview.
  5. At the end of the interview, select Show My Forms to print the authorization form.
  6. Print, sign, and fax the forms, or or contact Payroll Support for assistance.
Note Your account will be fully or partially inactivated for electronic services from the time you make the change until we've reactivated your e-services. This may take several days. Re-enrolling in electronic services and faxing the authorization forms immediately after making the change will expedite the process.
