You may need to refund a customer under certain circumstances. Follow these steps to refund a credit card sale and a customer's account credit or store credit in QuickBooks Desktop Point of Sale:

Refund a customer’s Account credit

When a customer’s credit balance needs to be refunded, you can charge the amount balance to their account and give change for the same amount.

To refund a customer's account credit in Point of Sale:

  1. From the Make a Sale screen, enter the customer’s name and select Account.
  2. Ensure Charge to account radio button is selected.
  3. In the Charge Amount field, enter the balance to be refunded as a credit.
  4. The receipt displays the Cash Change.
  5. Select the appropriate tender button at the bottom of the receipt to choose a different method.

If you are using QuickBooks Financial Software, an invoice and an offsetting credit memo will be created after a financial exchange.

Refund a credit card sale

You may need to create a credit card return receipt or return an existing receipt to refund your customer:

Make a new return credit card receipt

  1. From the Make a Sale screen, create a new receipt by selecting the item being returned if necessary.Note: Include the item prices and quantities. Ensure it is identical to the original credit card sale.
  2. Select the Return Item.
  3. Select Credit as the payment method.
  4. Ensure the Refund radio button is selected
  5. Swipe the customer’s card (recommended) or select Manual and enter the credit card number, expiration date, and cardholder’s zip code.
  6. Select Authorize Now.
  7. Select Save & Print.
  8. Have the customer sign the merchant copy and consider crossing out returned items on their original receipt.

Return an existing receipt from Sales history

  1. From the Navigator field, select Sales History.
  2. Search for the original receipt to be refunded.
  3. Select Accept Return
  4. From the Take Return/Exchange window, enter the quantity and select the Return checkbox for the item to be refunded then select Add selected items.
  5. Select Credit as the payment method and ensure the Refund radio button is selected.
  6. Swipe the customer’s card (recommended) or select Manual and enter the credit card number, expiration date, and cardholder’s zip code.
  7. Select Authorize Now.
  8. Select Save & Print.
  9. Have the customer sign the merchant copy and consider crossing out returned items on their original receipt.
