Learn how to change your direct deposit bank account for QuickBooks Desktop Payroll.

Do you want to change the bank account that your direct deposit funds are withdrawn from? If you have QuickBooks Desktop Payroll Basic, Standard or Enhanced with Direct Deposit you can. We show you how.

Set up and update the bank account

First, if you haven't set up the new bank account, do so in the QuickBooks Desktop Chart of Accounts.

  1. Select Lists, then Chart of Accounts.
  2. Select the Accounts button. Then select New.
  3. Select Bank. Then select Continue.
  4. Enter your bank account information
  5. Select Save & Close to save your changes.

Now, update the bank account information in the QuickBooks Account Maintenance page.

  1. Select Employees, then My Payroll Service, then Accounts/Billing Information.
  2. Sign in using your Intuit Account login.
  3. In the Direct Deposit section, select on any of the Bank Account details.
  4. Select OK on the message that appears.
  5. Enter you payroll PIN. Then select Submit.
  6. Enter the new bank account details. Then select Submit.
  7. Wait for the confirmation. Then select Continue.
  8. Select the bank account where QuickBooks Desktop should post transactions returned by the Intuit service.

Now, update the account that direct deposit paychecks and fees will post to if necessary.

  1. Select Employees, then Send Payroll Data.
  2. On the Send/Receive Data window, select Preferences.
  3. In the Account Preferences, select the new bank account from the drop-down list.
  4. Select OK to save your changes.
  5. Select Close on the Send/Receive Data window.

Activate your new direct deposit bank account

After one to two banking days, check your bank statement. You'll see two small one-time withdrawals made by QuickBooks Payroll Service. Enter these two test debits in the QuickBooks Account Maintenance page:

  1. Go to Employees, then My Payroll Service, then Account/Billing Information.
  2. Sign in using your Intuit Account login.
  3. Select Verify next to your Direct Deposit bank account information.
  4. Enter the two test debit amounts to verify your new bank account.

  5. Enter and confirm your payroll PIN.
  6. Select Submit.

  • Change the default bank account to use when creating paychecks in QuickBooks Desktop.
  • Change the bank account where payroll fees will post in QuickBooks Desktop.

Update bank account information via form

You have the option to download the form and submit it to Intuit using one of the following methods:

  • Method 1 (recommended) Email the form to sbpfcsoperations@intuit.com
  • Method 2 Fax it to (877.699.8996). (Note: Faxed documents take longer to process.)

You'll need to activate the new bank account if you want your next Direct Deposit payroll to debit from it. If you need to pay your employees but have not completed the bank account verification and activation steps, you will need to issue paper checks.
