You can allow employees who use Intuit TurboTax tax preparation software to import their W-2 information directly into their TurboTax account. It's secure and can save employees time when they prepare their personal tax returns.

By default, this feature is enabled (turned on) for your company. If you want to turn it off, you can deselect the Shared Data: W-2s to TurboTax preference setting in your your Payroll product account.


You can offer employees the benefit of easier, faster,a and more accurate tax preparation. Employees don't have to manually enter the numbers from their printed W-2; they just download the information directly into their tax returns. It's secure and saves time.

How it works

When the preference is enabled:

  1. Your print your employee W-2's in your Payroll product. That's it.
  2. When employees prepare their personal tax returns in Turbo Tax, they're prompted to enter the company Federal Employer Identification Number (EIN) listed in Box b on their printed W-2 form. To confirm their identity, they also prompted for their social security number (SSN) and the Box 1 wages from their printed W-2 form.
  3. TurboTax searches for the company's federal EIN. If the W-2 to TurboTax preference for the company is on, TurboTax then imports the W-2 information into the employee's TurboTax account.

If the W-2 to TurboTax preference is turned off in your Payroll product

TurboTax doesn't import the employee W-2 information and instead displays a message that says the employee must enter the W-2 information manually. Turn on/off the preference If you deselect the checkbox, the preference is turned off and employees can no longer import their W-2 information into TurboTax. Employees instead see a TurboTax message that says they must enter their W-2 information manually.

To turn on or off imports of W-2 forms to TurboTax

QuickBooks Online Payroll

  1. Select the Gear icon > Payroll Settings.
  2. In the Shared data section, select the edit (pencil) icon.
  3. Check or uncheck. Allow employees to import W-2 data into TurboTax.
  4. Select Save.

Intuit Online Payroll

  1. Select the Setup tab > Preferences.
  2. Check or uncheck. Allow employees to import W-2 data into TurboTax.
  3. Select Save.
