When you open your company file on a client workstation, you see or experience one of the following:
  • Error: Fixing the Connection
  • Error: You are not connected to the server
  • Error: Specify the Server and Company Data File
  • Point of Sale is grayed out
This issue happens because of one or more of the following:
  • The server is not in multi-user mode
  • Firewall and/or third party application is blocking the connection between the server and workstation(s)
  • Network connection issues
  • The IP address used is a dynamic IP
  • Network sharing and folder permissions are not configured properly


IMPORTANT: Before performing any of the recommended solutions, make sure you have:

  • Reviewed the QuickBooks Desktop Point of Sale system requirements.
  • Restarted both the server and client workstations.
  • Restarted the connection and ensure all ports are properly connected.
  • Designed client workstations to use a local area connection and not a Virtual Private Network (VPN) to connect to the server.
  • Logged in to Windows as an Administrator.


Solution 1: Ensure your Server is in multi-user mode

From the File menu, select Switch Company File to Multi User Mode.
NOTE: If the server is currently in multi-user mode, switch to single user mode and switch back to multi-user mode to refresh the system.

Solution 2: Turn on Network Discovery

  1. Open Control Panel, click Network and Sharing Center, and on the left pane, select Change advanced Sharing Settings
  2. Expand the network profile currently assigned to your network connection.
    NOTE: It is marked with the words Current Profile on the right side of its name.
  3. In the Network discovery section, select Turn on network discovery.
  4. Expand the All Networks category of settings.
  5. In the Password Protected Sharing section, select Turn Off Password Protected Sharing.
  6. Close the settings window.

Solution 3: Set up folder permissions

  1. On your server, right-click the folder where your company file is saved and select Properties.
    Location: C:Users\Public\Public Documents\Intuit\QuickBooks Point of SaleXX\Data
  2. Click the Sharing tab.
  3. Click Advanced Sharing and select Share this folder.
  4. Select Permissions and click Add.
  5. Type in QBPOSdbsrvuser and click OK.
  6. Click to select QBPOSdbsrvuser and select Full Control.
    NOTE: Make sure the permission of Everyone and Services user group are set to Full Control.
  7. Click Apply and OK.

Solution 4: Rename the WSActivity file

  1. Open the folder where WSActivity file is saved.
    Location: C:\Program Data\Intuit\QuickBooks Point of Sale XX\Ini
  2. Right click the WSActivity file and select Rename. Rename the file to OLDWSActivity.
  3. Close and re-open your Point of Sale in all workstations.
