You can record payroll tax payments inside QuickBooks Online. QBOP allows you to record these payments. You can then either save, or save and print, or print a cheque to send to the Canada Revenue Agency (CRA).

When it's time to remit your payroll taxes, QBOP lets you know how much you have to pay. In addition, QBOP has an extensive list of payroll reports you can generate to help you fill out your tax forms (e.g. PD7A), as well as give you detailed employee/employer reports (i.e., payroll summary, tax liability, Record of Employment, etc).  At year end, you can generate a T4 form to give to your employees so they can remit it to the CRA. Click here for our QuickGuide on Payroll Liabilities.

To see how much payroll taxes you owe and to record your payroll taxes:

  1. Click Taxes from the left menu.
  2. Select Payroll Tax at the top. 
  3. Click Pay Taxes.
  4. This will display all outstanding tax payments. 
  5. To record a payment, click Record Payment to the right of the tax item you'd like to record. 
  6. Review the information on the next page and click Record and print.

From the TaxesPayroll Tax page, you can use the links at the bottom of the page to edit your tax setup, view your Tax Liability report, view tax payments you have made, or enter any prior tax history.

To generate payroll reports and forms:

  1. Click Taxes on the left menu.
  2. Select Payroll Tax at the top
  3. Under the Forms section, select Monthly, Annual, or Employer Forms
  • For Monthly Forms, you can create Quarterly or Monthly Tax Forms and worksheets (i.e., PD7A, etc.)
  • For Annual Forms, you can create a T4 slip (employee), which is a Statement of Remuneration Paid for your employees (Note: QBOP now has the ability to E-file T4s for Employers*), T4 Summary, or T4 slip (employer)
    • You can generate the T4 Summary form for all Employees, the T4 Slip Employer Form, and the T4 Slip Employee Form. The only Form  you can currently export to an XML file for submission to  the CRA Website is the T4 slip employer with QBOP*
  • For Employer Forms, you can create Records of Employment (ROE)

To export and file T4 information with CRA:

  1. Click Taxes from the left menu.
  2. Select Payroll Tax at the top
  3. Under the Forms section, click Annual Forms
  4. Click T4 slip (employer) - This is currently the only form that QuickBooks Online offers that can be used for online filing. Make sure you have your Transmitter number available.
  5. Select the period and click View and print or save an electronic copy of the submission for your records. (You can submit this form by mail, along with the T4 Summary). Note: If you mail the forms to CRA, they require the T-4 Summary and T-4 slip (employer).
  6. Go back to the QuickBooks Online screen and click Submit. This will export your T4 slips as an XML file. You will still need to submit the information on CRA's website outside of QuickBooks Online.

To submit your T4 slips through the CRA website:

  1. Export the T4 file. We'll save them to your computer as an XML file and automatically archive a copy for your records in QuickBooks Online.
  2. Find the T4 XML file on your computer. Write down the file name and location as you will need this later.
  3. Go to the CRA Website: http://www.cra-arc.gc.ca/menu-eng.html.
  4. Click Businesses at the top, then click File a business return on the left.
  5. Click T4 (payroll), T5 (investment), or other information return slips and select File by Internet file transfer (XML). This is the only selection QuickBooks Online supports at this time.
  6. Click Enter Internet file transfer (XML) secure website, read through terms of service and click I agree.
  7. Enter the account number (without dashes or spaces) and Web access code (case sensitive) you received from the CRA.
  8. Browse to find the T4 XML file on your computer and upload it to the CRA website.
  9. Submit your return.
  10. It is recommended to keep a record of the date and time the form was submitted.
