warning on backing up in 2012

US QuickBooks Premier : 2012: Professional Services

Upon backing up,I get a Warning with the words: some Problem estimates may be incorrectly marked as closed or display incorrect invoiced quantities. I just upgraded to 2012. In 2011, they corrected this as I did not get this display.

The error refers to a non posting transaction such as estimate, sales order, or purchase order that has a line item with an incorrect open quantity. When viewing the transaction in QB you will most likely not see anything wrong with it but if you change it and re-record it, the program will recaclulate the open quantity stored internally in the transaction and repair it.

The solution for this is to edit the transaction and add a new line to the end of the transaction. You can do this without changing the amount of the transaction by scrolling down to the bottom of the transaction and adding a new line item with a character such as a period in the description field and recording the transaction. Then do a rebuild on the file and verify to make sure everything is fine after that.

To locate the transactions examine the few lines following the error "Error: Verify Target: Invalid open quantity: Target =" in the qbwin.log to get the transaction type, date, and doc number. Then do a find in QuickBooks using that criteria. The qbwin.log can be found by pressing the F2 key followed by the F3 key while QB is open on the screen to bring up the techhelp program and then selecting the qbwin.log file from the open file tab. If there are only a few transactions involved it should not take more than a few minutes to resolve.

There is also an open quantity repair tool offered by quickbooksrepair.com that will read the log file for you and then locate and edit each transaction automatically if you have a large number of transactions causing the problem.

I did what you suggested and have run rebuild twice. So far, I am still getting the Warning notice when I backup but when I run the repair tool, no suggestions are brought up.

Is it possible that you missed one of the transactions in the log? Close QuickBooks completely and then reopen it to force it to start a new QBWin log (QB appends to the log during your session but will start a new one when QuickBooks is restarted).  Then run a verify again and examine the qbwin.log again. Edit the transaction that is noted in the log and make sure that it has the new line you added to it in your previous attempt. If it does not then add a new line at end of the transaction with a period in the description field, save the transaction and rebuild the file. If the transaction does have the new line you added to it then you may need to delete and recreate the transaction.

I have closed and reopened QuickBooks several times with the same Warning every time. I have verified for documents that might be causing the problem but none show up now. (So I am assuming I 'fixed' the problem by adding the periods.) It still takes forever to back up as the warning comes up and I have to go throught the process twice. Any other thoughts you can give me?

If you are still receiving the error message when you run a verify then you have not corrected the problem. The transaction(s) causing the problem will be listed in the qbwin.log file. If you have edited all of the transactions that are listed in the log as having an invalid open quantity as I directed in my previous post and they still cause a problem after rebuilding then you may need to delete them and recreate them. 

If you are having trouble reading the qbwin.log file then you can post it here for help reading it.

Thanks for sticking with me kiwilime!

In trying to locate the qbwin.log file, when I press F2 with QB running, I just get the Product Information page. I've been trying to use the "C:\Program Files\QuickBooksRepair\Open Quantity Repair Tool\" which I downloaded the first time to check the log file. It originally told me the Estimates that I thought were the problem. Now when I use that tool, it comes back saying 'No records found in the specified log file that match the Invalid Open Quantity Error.' I have gone through and highlighted all the different QB versions listed with the same results.

The qbwin.log can be found by pressing the F2 key followed by the F3 key while QB is open on the screen to bring up the techhelp program and then selecting the qbwin.log file from the open file tab. Note that if you have both QB Enterprise and Pro/Premier from the same year installed on the system the techhelp program in QB may open the wrong log. 

If the tool did not find anything in the log then you may have restarted QuickBooks after the last time you ran a verify or received the error during the verify done during the backup. Remember that every time you close QB and restart QB, the qbwin.log is renamed and a new log is started so you would have to run the verify again for them to be listed in the log (or look for them in the file qbwin.log.old). Since the tool indicates more than one log you have (or had at one time) more than one version of QB installed on the system so you need to make sure you are opening the correct log for the version of QuickBooks that is giving you the error. The tool lists the version alongside the log file to make that easier.

There are no errors listed in the log because you have not run a verify since the log was started. Remember that everytime you close QuickBooks and restart it the log file gets renamed and a new one is started so until you run a verify the errors will not be in the log.

But I did run a verify prior to posting the log, twice and nothing came up. And I just tried to close QB and the warning came up again. So I just tried to verify again with no results again. :(

There is nothing in the log to indicate that you have run a verify on the file.

File->Utilities->Verify Data

What happens when you run verify? Does it run and then display a message when it completes? If so what is the exact wording of that message? You mention you get an error when closing QB. What is the exact wording of the error message when you close QB?

I ran verify and its the same message after it runs displaying this PROBLEM: Some sales orders or estimates may be incorrectly marked as closed or display incorrect invoiced quantities. This is the same as when I close or backup prior to closing.

Well there are no errors relating to the error message in the log you posted. Either you sent the wrong log, posted only a portion of the correct log, or closed quickbooks and then restarted it after running a verify which cleared the log of the errors.

Please verify that the file you receive the error in is the same as in the log you posted. C:\Documents and Settings\Terri\My Documents\MLD\Manley Land Design, Inc.QBW

If you have run verify and received the error then you should see a line in the log as follows.

After that line you will see several more lines before the actual transaction verification begins. At that point you will start seeing the errors listed like this.

Finally I was able to resolve the error or warning issue!! I ran the verify data command again this morning (when I wasn't so frazzled) and was able to find the error in the log. I adjusted the estimate with the periods on a new line and rebuilt the data and then verified again. NO Warnings came up this time!! Yay!

Thank you, thank you kiwilime! If you had not stuck with me, I would have put up with this annoying warning and delayed backup forever (or at least until a smarter person than myself helped me fix it). ;)
