Tracking Serial Numbers Within Quickbooks Pro Inventory

QuickBooks doesn't have a facility to track serialized parts. There are a couple of ways to do some things with them, but most are poor workarounds, and most only work in certain situations. To be able to give you more guidance I'd need to know more about what kind of items you are working with, and how many you deal with. If it is a very small number, that is one thing. If it is a large number (more likely), it is a different thing.

The only way to have serialized parts to show in the item list, in most cases, is to create new items for each serialized part. This is only practical if you have an extremely small number of serialized parts.

Other than that, you either need to purchase a much more expensive inventory add-on product (and probably have to upgrade to Premier or Enterprise) or keep track of that in a separate database outside of QuickBooks.

From the sales and tracking side, you can create a custom field for serial numbers in the item list. DO NOT enter any value there, though, as you only have one field per item (unless you create a separate item for each serialized part). Then add the custom field as a column to your invoice. When you sell an item, you can enter the serial number manually in that column. Then you can do searches on the serial number later if you want to find who purchased it. This is not a very satisfactory approach.
