T4 for employees who worked in different provinces

QuickBooks Canada : Pro 2012

Hello

I would like to know how I can create more than one T4 Form per employee. Quickbooks says that we have to create for each province a T4 Form. We have several bases in Canada and have to print more than one T4 for several employees.

Do these employees live in a different province from where they are paid? For instance, Head Office located in Ontario does payroll for employees living/working in Quebec, Manitoba, etc. Or, all employees live in Ontario but perform work in Quebec, Manitoba?

Head Office is in Calgary. Employees live and work in different provinces. Payroll is made from the Head Office.

Because Quickbooks says that we have to print a T4 for each Province. We have employees who have worked and lived during the year in different provinces.

QuickBooks is unable to split an employee's earnings into provincial groups in order to create multiple T4s. 

The best way to handle this in QuickBooks is to create multiple employees; one for each province.

The solution

That would solve for the dollar values in the boxes.  The problem is with Box 10, Province of Employment.  You will need to edit the employee's profile and go to the Payroll & Compensation tab and choose Taxes.  Here you will need to change the Tax Table Province selection for the T4 you are printing. Also don't forget about the T4s for CRA; especially if you EFILE; you would need to send multiple submissions.

You are in a unique situation here, be sure to have business copies printed of every one of these special T4s and add comments as needed.

Going forward, if an employee moves to and works in a different province, create them as a new employee.

Thanks so much!

For the future I will create a new employee when they move to an other base in an other province. Won't create this other problems? What I have to think about when I set up an other employee? because the name on the T4 has to match the name on the SIN Card. And probably for other task I also have to consider the changes I made.

Yes, the names have to be different.  For the employee name, you could add the province abbr. in the middle initial field or in the last name field within brackets.
