Small Trucking Company

Hi,Well, my husband started a small trucking company. I purchased qb set up with almost all the accounts. The company has different types of accounts like Bank Acct., Com Check Acct etc. We give drivers advances on the trips they take for delivering the loads. At the end of the trip they calculate how much advance he was given, expenses, and if he is short or over. I need to know, I am set to give them employee advances, but I don't know what to credit after they come from a trip. How would I do that or what do I need to credit or debit? My thought is that if I give them advances under employee advances, then I would need to credit that account and debit another, but I really am lost. Can someone please help me?

I am trying to figure out how to enter cash advance payments and then end of job payment. And how do I link expences to a single job. Also how do I download and already existing bank account and loan into my books?

My husband owns his own truck but has a broker that sets up all the loads for him. He still has his own expenses but gets paid by someone else and doesn't have to set up his own loads or anything. I bought the Simple Start Quick Books. I was wondering if anyone knows if the Basic Quick Books is better for logging miles traveled and gas logs for the IFTA report and all other expenses? If anyone can help me figure out which one is better please let me know. The Simple Start just doesn't seem like enough of a program for what I need. Thanks.

Hi,
I have a trucking company also, and I think that if you remember that anything that is an expense to you, when you pay it out, you debit the account that it is going to and credit your bank. When you recieve it back, do the opposite so that it won't look like they still owe you money. Hope that helps!!

You need to set up your "Contract Labor" (they are not employees then) as vendors (see the area to check so what you pay them will transfer to 1099 when your ready to print 1099 forms). I enter their time on the "Employee" time-sheet, then go to enter bills, as soon as you pick the vendor, it will prompt you to pick the timeframe (timecard period) to pay them for. For all of this to work, you need to have your "items" list set up first and make sure you choose which item the time is related to when doing the timesheets.

Quickbooks pro has a vehicle milage tracker. You don't have to pay full price from the program, you can unlock or upgrade from simplestart to pro.

A few problems commonly cause payroll issues. Can you be a little more specific about the problem?

Some useful troubleshooting info:
Do you have internet access? If so, have you made sure your firewall isn't blocking quickbooks?

Would you hop into quickbooks, to the employees menu (top of the screen) to employer services (bottom of the menu) and look at Add/Edit and make sure it says you have a payroll service active, and that your ein is correct?

If you get into quickbooks, and press F2 on the keyboard, an info screen should pop right up. Are you still using 2005 R1 and need to Update? Is your file size getting over 30,000k ?

BTW, if you just need another payroll disk, call 800-624-2106

i am considering qbes for my small company...which edition would be the best???? add ons??? i have 3 trucks and am considering more, looked at some demos and have NO idea how to set it up...i want to track expenses,mileage (per state and total),etc...each one per truck and fleet totals, and do revenue by customer and totals...i'm confused and dazed

I wondering how things are running for you now? I am just starting to do the bookkeeping for a friend's new trucking business using Quickbooks and boy am I having headaches!

Have any of your problems been resolved? The truck I am bookkeeping for runs for Panther and all settlements go through the comdata account, I don't know that Quickbooks has options to handle all this additional. I've tried everything I can think of and can never balance. Any suggestions?

I recently set up my own trucking company on quickbooks with the help of a local quickbooks pro consultant. Mine is currently set up for only 2 trucks but can easily be expanded to fit however many i add later. For small trucking business with 2 trucks, in QBpro, where do I set up each truck. Im a sole proprietor with no employee's, only Contract labor/1099.

There are a couple of ways that you can handle this depending upon how you issue a final check to the employee / driver.

If you create an actual paycheck at the end of the trip:

- When issuing the advance, you would "create a check" within whatever account the advance is coming from against an "Other Asset" account labeled "Employee Advances" (Side Note: You can set up other Sub Accounts and label them by Employee Name if you would like to see a running total by employee)

- When issuing the paycheck, you would create an Employee Deduction Item pointing to the "Employee Advance" Other Asset account that you used in the step above. Make sure that the amount you enter in the paycheck shows as a (-) amount.

- The Employee Advance account will not balance until you physically enter the paycheck.

The above will work for deducting partial or whole advance amounts.

If you create a disbursement check (non payroll) at the end of the trip:

- When going to issue the advance check, you would perform a lot of the same steps as above - When issuing the advance, you would "create a check" within whatever account the advance is coming from against an "Other Asset" account labeled "Employee Advances" (Side Note: You can set up other Sub Accounts and label them by Employee Name if you would like to see a running total by employee)

- When issuing the trip payment to the driver you would enter the advance against the Employee Advance Other Asset account as a (-) amount, and then using whatever accounts you have set up to track the payment as an expense. As an example...

- Driver takes $250 advance on Trip #1000 which would pay the driver $400.00
- Driver is issued his paycheck for Trip #1000 as follows:

--- Employee Advance -250.00
--- Wages 400.00
--- Total Check to Driver = $150.00
