Sales Receipts on Bank Rec.

US QuickBooks Pro for Windows

received a check and posted through sales receipt. It is not in undeposited funds. Can not find receipt on bank reconcilation to clear it. checked all the detail on each deposit in bank reconcilation. Showed up in customer center as sales receipt paid. Where is it?

creating a sales receipt does not issue a receipt for a payment.  it is duplicating a previous sale for which you are now receiving payment.

when you issue an invoice to a customer, you are telling him that he owes you that money.  when he pays you, the proper way to record the payment is to go to Customers > Receive Payment.  that opens up a list of open invoices for the customer.  select the invoice that is being paid and the money goes into undeposited funds.

Customer was not billed. It was a cash sale.

so the sales receipt WAS the correct method.  how have you set up the payment on cash sales?  does it go directly into your checking account?  have you looked at your check register to see if the payment was automatically deposited?  if the payment is in the check register, you won't find it in undeposited funds.

Sales receipts go directly to checking account. Wouldn't this deposit show up on my bank reconcilation regardless? I check my deposit slips to bank statement and then clear on quickbooks bank rec. I can't find the deposit, it's not within other deposits for the day and yet the deatil shows on  the customer file.

Should I check the maintenance file of the customer to see a problem there? We usually bill him for business related work, but this charge was for his personal car. I'm about ready to just make a journal entry to fix this problem. Maybe I should delete the sales rec and re-enter.

is it possible that we're not seeing the forest through the trees?

you issue a sales receipt and receive immediate payment from the customer for the goods sold.  QB records the sale and deposits the money into the checking account.  at this point, YOU HAVE THE MONEY IN YOUR HAND.  did you deposit it in the bank for the bank to record it?

QB records Sales Rec to undeposited funds, then I record deposit. It should show up in the QB reconcilation for clearing. I just tried to delete the sales rec. but I get the message "must delete deposit before deleting sales rec"   (Who's on first?) . So I tried to just change the date of sales receipt and save. Maybe a "start over" would fix problem. Still did not show up in undep funds. I am going to try a sales rec for a penny and watch the trail of transaction to education myself on how invoices outside of payables works. We will see if this enlightens me.

If you got the message that you need to delete the deposit first, it's not in UF, it's in the checking account -- or a bank account.

I know it is not in Undeposited Funds, I looked. It is not in the check register on that day either. It's not in QB bank rec deposits AND yet is shows up under the vendor as a sales receipt payment. Where the [removed] is it? I need to finish QB reconciling my bank account.

i don't use sales receipts, but if you open yours, is there a History button at the top that enables you to look at the payment?
