The way we do this is through a journal entry. Debit the checking account to add back the amount of the check and credit the expense account. Do this the date of the current reconciliation and be sure to clear the original check and the journal entry when you do the reconciliation. This will clear them both out. If you try to void these checks, it will change all of your reports since the date of the original check. Hope this works for you. Mark solved if it did.



You should document that these old checks were voided because the vendor was paid with a replacement check or something like that. Most states have rules that unclaimed property needs to be turned over to them.

I agree with both QBfun and Mimbreno. My original answer did not go far enough. These old checks need to be settled in some way before you void them. But my means of voiding the check was the way that it would be handled. The newer versions of QuickBooks have implemented a feature similar to this when you void a check from a prior period.
