QuickBooks interface with Verifone/Ruby fuel systems

I have a client who operates a convenience/feed store. They use the Verifone Ruby system for the fuel business and I need to know if anyone is familiar with an affordable interface between Verifone Ruby and QuickBooks. Thank you!

I have a convenience store and really need to link from Ruby Manager to Quickbooks as well.

The only input I have is that I am sure you must export to excel first then export from excel to quick books.

I would greatly appreciate anything you learn or find on doing this as the only person I knew that codes like that moved out of my area. I think it should be somewhat simple as long as the information goes into the proper cells of excel.

My issues whould be say, getting the exports from ruby to go into a dated spreedsheet that we submit to our cpa. I maintain quickbooks seperately so that I always have that software up to date.

Thanks for passing on anything you can during your search.

Greg Hanson

For anyone who is following this link:

I'm still researching a potential solution. I think I may have found the resources to accomplish the task and we may be able to pool resources. I have my IT associate working on the answer and I'll keep you updated as soon as it's available.

If there are other QB professionals who need a solution for either Verifone/Ruby or G-Site pump readers/CRINDs interfaces with QuickBooks, you can post your interest in participating to this question

I'm also working on another web-site and I'll link to it from my homestead site as I have more information.

I also own a store with fuel using a ruby supersystem. The ruby system has many shortcomings in the amount of information it transfers out of the system. We purchased back office software costing over $7000 which simply did not work. A number of issues were with the ruby system not storing or able to send data to the back office, such as client accounts and details of the transactions. We went back to manually transferring the data from the sales tapes and printed sales receipts into the quickbooks software every morning. So even if you accomplish a direct connection with the ruby system it may not be able to do half of the functions as a quickbooks pos system.

We are considering purchasing a quickbooks pos system and using the ruby system for fuel transactions only, and then entering the sale into the quickbooks pos system. Our station also needs to be upgraded to pay at the pump so replacing the ruby system altogether is an option. Is anyone familiar with using the quickbooks pos with any fuel systems? If not is anyone else manually entering the fuel sales from a seperate pos or controller directly into the quickbooks pos? Also how is pay at the pump handled?

Obviously, we are looking for a lot of information. If a proadvisor or consultant has experience with a similar setup please e-mail or call.

As mentioned earlier, Ruby does have limitations. If you're looking for fuel management and interface with 100% QuickBooks integration, try looking at:

tkaram, yours is the software I was referring to as not working. You fail to mention here not only are the the account numbers discarded, the Ruby also discards the transaction details. Most trucking companies need this data with their statements. Also the daily and weekly reports from leased departments cannot be settled on a daily or weekly basis as one report but have to be manually run on a daily basis and then run as a single totalled report. These shortcomings should be disclosed before you sell your non refundable software. I have been a customer of AGKSoft paying the outrageous helpdesk fees and I was never informed of this workaround. Is it really an actual fix or just another project in the development stages like so many other of the issues with your software. Like the many other posts from disgruntled clients of AGKSoft this post will probably be deleted.

Let's stick to the original issue. Is there any member who is integrating fuel sales directly into the quickbooks pos software. Using unproven third party software costing over $7000. is not an affordable solution, especially when you factor in paying a help desk for the Ruby system, paying support and payroll service for Quickboods and then paying an additional $1100 for the help desk on the interface software. We are small businesses not government contractors.

I'm also looking to connect a Ruby Supersystem II with Quickbooks Premire 2009  and Quickbooks POS 8. Anyone find a solution?

Hello everyone. Has anyone found a solution to this yet? I need to be able to have the data from Ruby automatically input into Quickbooks as I am an out-of-state owner. Please help. Thank you.

I have written affordable conversion software. Please contact me from my website with a brief description of the data to be imported (including a sample file would be helpful) and I'll let you know if it's something I can help you with.
