Profitabiity Report

US QuickBooks Premier : 2010: Standard

The staffing company assigns consultants work at client place, the client is invoiced. The consultants keep changing jobs once they are completed. The consultants are paid by the company.

While P&L by Job report gives the profit for each job, how can profitability report for each consultant be generated?

You can try running a Reports>custom summary report by income and expense accts, display the columns by customer and filter the report by rep, then you can also collapse the report.  You will be able to see which jobs (by their P&L report) and the profit for each rep, if you filter it down.  If that doesn't work for you, you can try playing around with the custom summary report, as you can get many different reports from that will all of it's filters.

I think qbteachmt replied that way due to the way you asked the question.  It is written as "The staffing company..." instead of most users who write, "My company is a staffing company and...

Believe me, there have been users who have posted here and have written test questions (even for the ProAdvisor's test) that are trying to get an answer to the test question.

When you read these forums a lot, you see the homework questions that are posted here instead of using the product, the books, and the learning resources. Additionally, people do in fact post their test questions here. The high-count volunteers that answer topics on these forums have made a concerted and agreed-upon effort not to help subvert the education process. Just because an answer is on the Internet doesn't make it the right tool for the learning process and not for the testing process.

For your issue, you set up Service Items for the consultants, and you checkmark the box that this service is provided by a subcontractor. Link the left side to Expense and the right isde to Income. Set the cost and price here.

When you pay the consultant, you list on the Items tab all the things they did and each customer for whom they worked, and you mark this billable.

Now you have Job Tracked this cost.

When you invoice the customer, use the Add Time and Costs button to select these entries for the invoice to the customer.

Now you can run Item Profitability reports to see the direct relationship of Cost and Revenue, for these items.

You also can use the Item on a Timesheet for the Consultant to track who they did what for, when, for how long. Mark this Not Billable (remove the checkmark) to avoid double-billing, since you are going to "bill from the payment to the vendor" and not from the timesheet data.

Then, when you generate the Check or Bill to pay the consultant, QB asks if you want to pay from the timesheet. Answer yes and let QB bring the Items over to your transaction. Now mark them Billable.

Now invoice the customer.

These are known as "two sided" items, in that you are using them on purchase transactions and on sales transactions; you are controlling the data flow to expense and separately to income accounts. And, you are using the same items for purchase and sale so now the Item reports are meaningful for your request.

Job Profitability reports will work for you, too.

If you are looking for full profitablity by consulant. then use class tracking. You can make each consultant as a separate class. Within the class you can track their indovidual expenses.

Edit menu > Preferences > Accounting > Company Preferences > Check off "Use class tracking"

Class tracking would be a great idea (instead of reps).  Good idea, Ray.

You could run the P&L by job report to see how profitable the jobs are and a P&L by class report to see how profitable each rep is.
