Problems with advance payment, purchase order, items received

US QuickBooks Pro for Windows

We had to make an advance payment on purchase order.

The goods not received in full. When the supplier issued the invoice it reflected the lower amount of goods received.

How do I enter this in QB? The supplier has a repayment obligation (or we have a credit to use)

How did you enter the prepayment? If this is posted to AP, then you have a credit that you apply to the partial amount and the rest is on hand as a credit.

If you posted to an Other Current Asset account, then enter the bill for what you received and pay the bill from the Other Current Asset account by clicking on the Expenses tab. This will treat the bill as paid without hitting the bank account. Now you have a remaining balance in the Other Current Asset account. When you get the refund check, make deposit to the bank "From" the Other Current Asset account.

If you entered a bill for the goods in full and paid in full before receiving only the partial, create a vendor credit for what didn't come in and keep it on hand until you receive the refund check. Then, post the refund in the vendor name "from" AP. Now you have an amount in Pay Bill that you can post to the credit memo.

It really depends on how you use QB.
