I have posted a Flip video response to this question, discussing the difference between these types of files.

P.S. When creating a Portable copy in QuickBooks Pro, select File on the menu bar, and Save a Copy or Backup. Select the Portable option.

OK - my apologies to everyone out there - the first video was inaccurate; Here is a new link:

Backup Copy = ENTIRE COMPANY, including letter template folders, etc. - best to restore from if recovering from lost data or if data has been corrupted.
Portable Copy = Compacted version of company file (no letter template folder) - best for laptop, on the road type use.
Accountant's Copy = so that you can meet with your accountant and still work in your company file at your office.
I hope this new video is less confusing! Thanks!
