open advance pay balance problem

QuickBooks Canada : Pro 2012

QB message: "An employee has an open advance pay balance. This needs to be included in earnings for the period for which it was paid. Before processing ROE you need to deduct the advance from employee's final cheque."

This advance happened about 7 months ago.  

How can I clear out this advance?

The advance has been paid back, yes, shortly afterwards, but it was not recorded.

To clear the advance from payroll that has already been paid back, you need to do the following:

  • Open the Payroll Item List
  • Click the Payroll Item button and choose New
  • Select Addition then click Next
  • Give the item a name (eg Advance Correction), click Next
  • Select the same expense account that the Advance item linked with. (Payroll Expenses by default), click Next
  • On the ROE Tracking screen, UNcheck 'Earnings', click Next
  • Tax Tracking Type, select 'None' from the drop down, click Next
  • Taxes, UNcheck all taxes
  • Click Next until the end of the wizard (accept all defaults)
  • Click Finish
  • From the Payroll Centre, click on Unscheduled Payroll
  • Set the dates for 'Pay Period Ends' and 'Cheque Date' to be equal to the employee's last pay cheque received.
  • Select the employee and click 'Open Pay Cheque Detail'
  • In the 'Earnings' section, choose 'Advance' and enter the negative value that is needed to clear the outstanding advance.
    • This will put the cheque in a negative state.
  • In the 'Other Payroll items' section, select the addition item you created and enter the positive amount of the advance that was outstanding.
    • This will bring the cheque total to 0.00
  • Click OK and complete the pay cheque creation process.
    • This $0.00 cheque will fix your Advance issues for the ROE and also have no impact to the T4.
