You cannot. Payroll is now a subscription service ONLY and has been for over two years.


You cannot do it in QuickBooks. But you could use one of the free (e.g. HMRC's own one) or low charge payroll systems and enter the figures manually into QBs as a journal. That's what a lot of my clients do as the subscrition service is far too xostly.

I use the HMRC software to work out the payroll but was looking for a way to enter the values straight in to QB. At the moment I have all the wages/salary/NI/tax under 'other current liabilities' in the chart of accounts. Is this sensible? (I am not an accountant and have not got my head round journal entries)
If you do not have a payroll subscription for Quick Books, then you can make journal postings for payroll totals as follows for each pay period:-
DR Wages, or Salaries, or Directors Remuneration (Expense account) with the gross wage/salary.
DR Wages, Salaries, or Directors Remuneration (Expense account) with the Employer's NI
CR Bank Account (Asset) with the net Wage/Salary/Directors Remuneration.
CR Payroll Taxes (Liability) with the total PAYE, Employer and Employee NI deductions. This will be reduced by the monthly payment to HMRC.
Other payroll items that will be treated similarly are such things as Pension contributions, Sick Pay and Maternity Pay.
