Hyperlinks for Receipts

US QuickBooks Pro for Windows

How do I insert link to scanned document.

We are going paperless and I would like to insert a link in the receipts section to link up to the scan image of the receipt

Anybody have any ideas on how to do this

Thanks

What version do you have?

You can use the Document Center if you are using Quickbooks 2012.

QB 2012 has a little paperclip and all of this is handled by QB's functions.

With QB 2009 you have a couple of options:

  • Upgrade to QB 2012 and use the Doc Center, which allows you to attach a scanned document to almost all transactions and list items (but not all). Documents are stored locally in a folder that is public, so you don't want to store information that has personal info like SSN's. See my review of this at http://www.sleeter.com/blog/2011/09/quickbooks-2012-document-management/. This is free in QB 2012 (US versions).
  • You can purchase a third party addon that stores your documents "in the cloud", which has certain advantages, but you incur a monthly charge. There are several, one very good one is SmartVault. I have a review of that which is a bit dated (there are many new features), I hope to have an updated review in a few weeks. See http://qbblog.ccrsoftware.info/2009/09/review-smartvault-documentation-management-for-quickbooks/
  • You can also purchase a third party addon for a one time fee that will store the documents locally, more securely than the Doc Center. There are a couple, see my review of PaperSave Plus at http://qbblog.ccrsoftware.info/2009/08/review-papersave-plus-documentation-management-for-quickbooks/
