How to remove an "Item Receipt" without paying a vendor for the item

 

We have received some items which produced an Item Receipt.  These are parts that a company is giving us and we do not have to pay for them  How can I keep these item receipts from showing in my unpaid bills A/P detail?  I don't think there is a way to remove an Item Receipt without paying for it.

When you are receiving items for free just enter the number of items and don't enter any $ amount.  To get rid of A/P, go to Vendor Center and select Vendor and right click Item Receipt transaction and go to Edit Transaction.  Then go to Edit and delete Item Receipt.

That answer did help a lot.  The only part it did not address is how to retain the cost information so that we still have that to use when calculating how much the job we got it for cost us.  Let's use the example of:  We received a widget that normally costs us $300.  Because we are such a fabulous customer, the company we purchased if from decided to give it to us for free.  When we receive this widget, we still want $300 to show up under the cost of the job.  If I zero it out, which works to remove it from the unpaid bills, I loose the ability to track that.  Please let me know if you have any other suggestions.  I appreciate your help.

The solution

If you got something for free, it has no cost and there is no added cost to the job. You want to show a cost you didn't incur?

You can generate the bill you would usually pay from, then add a line in the Expenses tab and post to an expense account, such as Samples, and use a negative amount of the same as is the bill total. Use the Recalc button and this is a $0 bill and is considered paid. Now you haven't impacted the "cost" for your job.

Thank you for your help.  We ended up going into the Item Receipt and putting zero's in the total column.  This left the Item Receipt as record for that vendor/customer, but it disappeared from the unpaid bills.
