How to process credit cards manually (Merchant Account Services)

Merchant Account Service

If you ever need to process credit cards manually (through Merchant Account Services), here are instructions:

1. How to get a Voice Authorization
2. How to complete the Process in QuickBooks software
3. How to complete the Process via Merchant Service Center or Online Terminal
* If you are still in need to get a Voice Authorization, please follow instructions below

Processing a Voice Authorization (ticket only/forced sale)
If a credit card transaction cannot be authorized electronically (for example, if the software or equipment isn't working), the merchant can authorize the transaction by phone. There are transaction fees for voice authorizations. Getting a voice authorization is not the same as processing the transaction. A voice authorization simply assures that the cardholder has the available funds. The merchant still need to process the transaction to receive the funds. The first step is to authorize the transaction, which secures the funds for use. The merchant will then process the transaction in QuickBooks.

To obtain “Voice Authorization”
Call the appropriate voice authorization center: Voice Authorization

  • Visa/ MC/ Disc ACQ/ Amex OnePoint: 800-228-1122
  • American Express: 800-528-2121
  • Discover: 800-347-1111

Be prepared to provide the following information:
 The merchant account number (This number appears on the monthly statement, the imprinter, and in the approval e-mail received)
 Credit card number
 Card expiration date
 Purchase amount
**You will be given an authorization number. Write this number down.

The processes below provide instructions on “How to complete the transactions within QuickBooks Software and or Merchant Service Center/Intuit Online Terminal”

Complete the process “Voice Authorizations“ in QuickBooks
• Return to the original transaction in QuickBooks.
• Save the transaction again.
• In the Enter Credit Card Information window, click the "Voice Authorization Number" link.
• In the Voice Authorization box, enter the number received from the voice authorization center.
• Click Submit at the bottom of the window.
**To complete the transaction and receive the funds, the merchant must process it again in QuickBooks.

NOTE: If a sale is canceled after the authorization was received, the merchant needs to cancel the authorization. Call the same number provided above

Process Voice Authorizations in Merchant Service Center or Online Intuit Terminal

• Log into MSC
• Click on charge a card
• Input all customer data from voice auth transaction
• Check the box “I have a voice authorization code”
• Enter the code you received in the “Voice Authorization Code”
• Enter billing zip code
• Click Submit

Sorry, but this does not help me.  For one thing, you mention completing the transactions in Quickbooks, but I can't do that because the service is down.  Second, I'm working remotely and I don't have 1/2 the information that will be requested after I call and wait on hold.  It just doesn't make any sense to me why I would want to go through all that manual work and the card still isn't processed.

Hi

I have the Quickbooks 2008 and I did not upgrade to Quickbooks 2011 yet so I no longer have the online services. Am I still able to manually process a credit card payment doing it this way? Is my merchant account locked out too becasue I haven't upgraded yet? I need to figure out how to process them until I finally upgrade.

Hi commheat,

Your merchant services are stopped on 2008 including any other  online services. You may want to explore other options to process credit card.

I will have to double check on that, since with 2008 and earlier version all online services stop working.

A couple of tips:

  • Shop around for the best rates and fees for your business. You can negotiate with banks and processors to find better rates.
  • Find a system that meets your needs with some room for growth. If you are only going to process an occasional payment, phone or online-only systems might be cheaper. If you anticipate higher volume, a terminal can offer better rates and functionality.
