Important Announcement! A planned system-wide upgrade will take place over the Memorial Day Weekend in the US (From Thurs, May 24, 2012 at 6 pm PDT thru Tues, May 29, 2012 at 5 am PDT). This includes QuickBooks, QuickBooks Payroll, Point of Sale, & Salesforce.com. This is only for US based products. This does not affect QuickBooks Online customers! During this time, you can shop, but can’t place orders online, activate products or update account info. We apologize for the inconvenience & thank you for patience while we improve our infrastructure to better serve you. International versions are unaffected. For more info, see our community discussion.

How to deposit funds that are payable to another vendor

My client is an Arts Council which is allowing people to use their space for teaching classes. They have made agreements with the teachers of the classes that we will collect all the fees from students then issue 1 check to them each month. All student fees will be given to the teacher and none will be retained by the Arts Council.

Intuitively, I want to record the student payments to us as a Payable to the teacher, since it is due to them and is not truly income to us. However, QB will not allow you to enter payables as a deposit.

What is the appropriate way to record transactions like this not as income and expenses in QB? I do not want to track them on the P&L since they are a wash, and will likely confuse the board members trying to read the P&L.

If it is not appropriate to show on the P&L then you can

1. create a current liability account for the vendor

2. use Make Deposits to record deposits

Menu > Banking  > Make Deposits > Cancel (to clear the listing)

you will not be able to track who from unless they are in your list of names

3. use Write checks and the Current Liability account to pay the teacher

Are you sure that you do not have to track this and possibly give the teacher a 1099 for the payments?
