How can I hide payroll transactions?

US QuickBooks for Macintosh : 2012

I need some way to hide payroll transactions in QB for mac 2012 from users who enter other transactions. This was easily setup in QB for Windows because the Write Checks screen didn't give access to all the previous checks including payroll checks.

What's really odd is that I can limit access to the check register, but the user can still access all the transactions in the Write Checks areas.

This seems like such a basic function.  What information could be more sensitive than payroll? Without this capability I don't even see the point of having limited users.

The solution

There are new selections in the account setup, " is a payroll account " that will limit access to these accounts based on the user preferences. I assume you selected the access when setting up the account, what access was selected? Also looks like some fixes were made in the last update.

 

Release 8 (R8)

Banking

  • Check numbers will now autofill and increment correctly

Multiuser

  • Users with correct permissions can now print checks in multiuser mode

Performance

  • Improved performance for files with large Item lists

Permissions

  • Users without Payroll permissions can no longer view checks to employees with a Payroll Account in the Expense Details

Sales Forms

  • Group Item quantities will now update correctly when edited on a sales form

 Yes, make sure the accounts you use for payroll have "is a payroll account checked".  Then give the user only accounts payable access (writes checks and credit cards) but not sensitive accounting and payroll access.

We had a bug that allowed access in write checks but that was fixed in the most recent update.  Give it a try after running QuickBooks->Check For Update.
