Fixing Item Limits in POS v 9.0 & QB Fin 2010 when Error Status Code 3181 occurs during Fin Exchange

Your problem is with QuickBooks financial. Pro and Premier have a 14,500 list maximum. You can merge/delete your items in QuickBooks financial so you're back under the list max, or upgrade to QuickBooks Enterprise.
To help keep this from happening in the future, change your POS preferences so you're only sending over detailed information for customer charge accounts. Go to Edit > Preferences > Company> Financial and choose "Detailed items descriptions sent for customer charge account transactions only".
I did as directed and still got the same message. Is there anything else I can do?







Unfortunately, changing your preferences doesn't fix the past it only fixes the future and you've already hit your list limits.
You either need to reduce the number of existing items and/or customers in QuickBooks, usually by shrinking the file, or upgrade to Enterprise.
I have cleaned up all sales receipts before 2011. I know that I don't have over 14000 receipts in 2011. How do I shrink it?







The problem isn't with the number of transactions, it's the number of items and/or customers.
Unfortunately, cleaning up old sales receipts doesn't reduce the number of items or customers. It does, however, make it possible to delete items and customers that no longer have associated transactions in QuickBooks. But you still have to go in and delete them.







Yes that's a part of it. Names can hit a limit too, though.
Why does it say too many sales receipts if there is too much inventory. I do not have any customer names in my files.
Pressing F2, while in QB, will bring up a window showing (lower right) the number of total items being used.
14,500 total items is the limit in pro/premier editions.

Deleting sales receipts do not also delete the items associated with the receipts, and absolutely shouldn't.
So what else do I need to delete? Inventory items? I cannot afford the enterprise.







You need to delete or merge your items.
You can't delete them unless they haven't been used in a transaction, and inactivating them doesn't shrink your item list.







Change the name oif the item you want to merge so it exactly matches the name of the item you want to merge it with.
I'd back up your file before doing this because while it's really easy to merge, it's extremely difficult to unmerge.
