estimate and progress billing

Hi!. I am an owner of a small architectural firm; but not an architect! We have 15 years of experience in the business. I have been using QBs Pro for many years but get frustrated trying to communicate with QBs support staff.Has anyone used the Estimate and Progress Billing for a large project? We have some state work and subconsultants under us. Can I generate an estimate for each sub based on their contract and progressively bill against it. What are the pitfalls? Impossible?Thanks in advance.J

Hi, J, and welcome to the community:
Part of my job here on the forums is to help connect people with support problems to somebody who could possibly help.  So anytime you (or anybody else for that matter) is having problems that can't be resolved by asking another community member, feel free to bring it to my attention.  I can't guarantee anything, but sometimes I can help.
I moved your post out of the Welcome discussion into its own topic because QB questions can get really buried in a place just designed to say hi.  I suggest you also try a site search for "progress billing".  You might also check out the BuildersContractors forum.  Those folks obviously do a lot of progress billing as well.

I've been on hold for 2 hrs. and no one at QB knows how to use a progressive invoice.  I did one some time back before moving to QB online. I want to bill my customer for 30% of the invoice. A normal invoice says balance due. I added two layout boxes on top for original contract price & change orders also now all my normal invoices are showing those two boxes I wanted on my one progress invoice. I am still on hold. I want to Total to be amount owed to me. And Balance due to be amount I want to bill at this time (30% of completed contract amount).

Aloha.  I don't use QBs anymore and never used QB On-line but I will try to help you anyway.  Are you sure you mean you want to bil your client 30% of the "invoice"?  Or do you mean 30% of the total fee as you mention in your last line?   It also might be easier to help you directly through e-mail if that;s ok with you .

I would think it is possible, but no guarantees.

An estimate, it seems to me, represents what will be invoice, if all goes as estimated.

So, if an invoice makes sense for the work that a sub-consultant does, then I would think you could use an estimate for this sub-consultant?s work. Richard

Hello J

I have used Estimates/Progress Invoicing alot - and probably 75% of our customers do so also.

The QuickBooks Estimate should be thought of as your own companies Schedule of Values (bid) for work you will be doing on the job with the $ amounts reflecting just that. You can incorporate your subcontracts into different segments or divisions of your Estimate - some of our customers actually create items in their item list for Subcontract - Electrical; Subcontract - Plumbing, etc.

When you were ready to bill your customer you'd go to that Estimate and create a Progress Invoice.

I would use Purchase Orders to track committed costs from Subcontractors, receiving "bills" you receive from them against that Purchase Order.

As for "big" jobs - do you mean a lot of line items or the job will last a long period of time? The answer is yes to both being done successfully. 10 page Estimates for jobs lasting 5 years.

"IF" your Estimate is setup correctly you can do just about anything!
