Entering cash/debit card purchases

US QuickBooks Simple Start

Just updated to 2010-I see how to enter expenses when paid by check...what about cash/debit card(checking-no check) transactions? I believe 2008 had a place to mark either cash or check and a general ledger which showed everything. Thanks.

You could go to Write Checks and enter the debit/cash transaction as if it were a check. In place of the check number, enter DEBIT.

I do not have a checking account set up with Quickbooks-I pay cash (debit card) out of my business checking account with my personal bank.  Am I supposed to link this bank account with Quickbooks even though I do not want to write Quickbooks checks?

The solution

Yes, you will need to set up your business bank account in QB in order to reflect your debit card transactions. Creating a bank account isn't just for writing QB checks. To create your business bank account in QB:

  1. Go to your chart of accounts
  2. Right click anywhere in the chart of accounts and select New.
  3. Choose the correct account type ( i. e. bank) and follow the prompts

Once you have created your bank account, you will be able to enter your debit transactions in your bank register. Enter the debit transactions in the same exact way you would enter a check.

To handle actual cash transactions (where you pay with dollar bills), create a Petty Cash account in your chart of accounts. To create the Petty Cash account follow the same steps as above.
