Detaild AR aging report that shows invoices in aged columns, e.g. 30, 60, 90+ days

US QuickBooks Premier : 2012: Manufacturing and Wholesale

I am using QuickBooks 2012 Premier Manufacturing and Wholesale

Is there a detailed AR aging report which shows invoices in aged columns, e.g. 30, 60, 90+ days?

You can run an A/R Aging Summary that will give you the columns, then when you click on a particular amount, you can 'drill down' or 'zoom' into the particulars that make up that amount. I've not seen an a/r detail aging with age bucket columns.

However, you can run the a/r detail and tell it to go out however many "days past due" in the top of the screen. It just presents it in a different format. If you want to be able to have this report export to Excel, you can then create a pivot table that will dump everything into columns and give you the specificity by column you want. Then you can focus on the really old items that stretch out your DSO (days sales outstanding) number. If you want more information on how to create a pivot table, I do this every two weeks for my payables - process is the same. I'd be happy to help you on a private level. We would just need to connect off the community grid.

Hello.

I want to export Quickbook's A/R Aging Summary to Excel, and then build a pivot table. The goal is to be able to find and seperate out jobs by the Project Manager. I want to know all the jobs each Project Manager is running. I cannot figure out how to do this...

The A/R Aging Detail will not give you columns; however, it will give you your detail broken down into sections (current, 1-30, etc). You can export this into excel, add a column that computes the actual age based on a specific cell you designate at the top of the spreadsheet with today's date, that will populate the column for the actual age.

For example, you have the date column in the export as colunn C (Column A has the age bucket designation). Put today's date into cell B3 (column B, row 3). Add 1 column to the right of the date that your invoice to your customer generated (i.e, if the date is in column C, click on the column D label at the top of the screen, right click, then select "insert"/"column". This will create a blank column for you. In the first row of data, create the following formula:

=sum($B$3-$C(row#)).

the "row#" is whatever row number your data first sits on.The $ sign creates an "absolute" and regardless of which row you are on in the report, the formula will always point to row B3 for the current date. You can have the current date automatically update by inputting: =TODAY(). This will update your spreadsheet if you stop on one day and come back the next to continue working on the spreadsheet.

Once you know the exact age of each line item, you can create a pivot table by whatever other criteria you wish.
