Deferred Revenue - Time earned -No deposit from Customer

US QuickBooks Pro for Windows : 2009

I have read all the replies concerning Deferred Revenue and I still have not found an answer.

Situation: We provide a service. Invoices produced from Time sheets submitted by engineers, program managers, purchasing staff; drafting personnel, consultants, etc.. The time sheets are used to process bi-monthly payroll for employees & contractors

We are a Cash base provider. 

 We have to accumulate time for certain projects but cannot invoice until job completes. We need to accumulate time in cust acct instead of loose time sheets kept in a file. Which could be lost or misplaced.

Could we possibly :

Create an invoice but offset amount with an item: Deferred Revenue  Acct -  Asset That way it does not go to the A/R.

seems like you want the time paid per job to be a billable expense to each job - pay the service provider when they put in the time but capture all expenses at a later date when you create the invoice for the customer. As I understand this you are only creating an invoice when the job is complete. What version of QB are you using? In the newer releases you should see a total of unbilled expenses for each customer. This would seem to solve your problem without the need to create any more fancy entires.

Thanks, I am new to QB and we are using QB PRO 2009, my predecessor did not use all fearures so I am learning so we can better utilize what we have. We are discussing going to QB PRO  2012, so I'll wait before I try any other in QB 2009.
