daily sales summary and cash drawer payouts

US QuickBooks Pro for Windows

how can i detail my cash drawer pay outs in my daily sales summary in a way that they can reflect who the pay out is to?

Tracking vendor payments paid out of the drawer:

You can create an (other charge or discount type) item for the total paid outs total to Cash Paid Outs (a bank type account).

In the PC version, a discount item will post the amounts as a negative.  In QBOE and Mac, you need to set up an other charge type item and, then, minus the amount manually.

Then, you can post the detail of the paid outs by using the Write Check form from the Cash Paid Outs account, using one check for each vendor name - - which will, then, zero that account out.

I'm using QB pro 2012.  I followed your direction from your previous posts on Daily Sales Summary; I created Cash on Hand as bank account and an item Cash pointing to Cash on Hand.  For some reason the cash sits in the undeposited fund! Why? I thought the Cash should transfer to Cash on Hand since it's associated with it.  Is this a bug in QB pro 2012?  Help please.

My guess is that you are not zero-ing out your sales receipt and, therefore, the balance @ the end is going to Undeposited Funds, by default.

You have two choices:

1)  Use your item to capture that total, which will move it to Cash on Hand/Safe.

or

2)  Go to Edit>Preferences>Payments>Company Preferences and take off the checkmark next to Use Undeposited Funds as the Default deposit to account.  Then, you will have the option on the lower left section of your sales receipt to 'send' the balance to Cash on Hand/Safe.

I hope this clarifies your options/procedures.
