Custom Item Description not transferring to Invoice QuickBooks for Mac 2011

US QuickBooks for Macintosh : 2011

Hello:

OK, I noticed that any custom item description that I entered for a check or credit card transaction in QB for Mac 2011 is not transferring to my invoices. Is this a software bug or settings issue?

Steps:

1. Enter check or credit card charge details including adding custom item descripttions, click ok button to save charges

2. Create new invoice

3. Select customer job then click time/costs button under pmt history

4. Click items button next to mileage button

4. Review costs entered for job. Here is the problem, all charges that I changed and typed a custom item descriptions for are not listed only the generic description that was used when creating the item list

 is the custom item description visible on the Invoice form?  You may have to add it to the table in Layout Designer.

@Biscotti: Yes, description is on our invoice and both print & screen field options are selected in layout designer.

OK. Maybe I need to clarify my question. I didn't create an additional field called custom description.

What happens is when I enter a purchase and change the generic description for an item and review the same item in time/costs window. The edited description is displayed but when I check the item to add to an invoice and click OK button. Then review the invoice, most of the item details are transfered except the description.

Anyone? Very frustrating when you have mutiple items for several invoices.

When you enter an item in your item list you have a field for purchase description and sales, my guess by editing the sales description when you enter a purchase you are deleting the sales description. If you are tring to use a generic item that you can edit the description when used I don't think thats going to happen unless you edit at the invoice stage. The memo field from the expenses tab however will transfer to the invoice.

@ SkinnyRaven: Well that's interesting because I tried to use genereic text in the purchase or sales fields when creating an item and then edit the description when adding a purchase item for a credit card transaction. The new description is not shown in the time/cost window.

So I deleted the generic description in the item list and then added a detailed description when entering a credit card transcation (because every product I purchase under this item is different) The newly entered description is dislpayed in the time/cost window but does not transfer to invoice.

I find this odd because it use to work in QB 2006 for Mac and now it doesnt when I upgraded to 2011 version.

Is there a way to relace the description field on an invoice with the memo field? Or at least have the memo info transfer into the description field on an invoice.
