Credit & Debit Card Deposits

US QuickBooks Pro for Windows

How do I get my Credit & Debit Cards to deposit into my bank account from POS. I changed the mapping to my bank account, but it won't stay that way. There must be something else that needs to be done.

Are they going into Undeposited Funds? That's the correct way -- you'll never be able to reconcile if your credit and debit card sales go directly into your checking register. They go to Undeposited Funds first, so you can group them so they'll match your bank statement. Generally, mine are Visa, Mastercard, and Discover for each day, and Amex separately.

Thanks for your answer.   However, I'm not quite convinced that they have to go into Undeposited Funds, because on our old computer we were able to change the mapping to our bank account for them to be deposited daily with our end of day transactions.  Unless they made a change to now allow that to happen now. 

It just made it less to think about making more deposits.

The payments are transferred to QB from POS at the end of day.  We used to be able to do the End of Day and the deposits for Credit & Debit cards went right into our bank account.

Now they go into the Undeposited Funds area, so we manually have to transfer them to the bank account.

 What does your POS  system "send" to QB's? a journal entry or a sales receipt?

POS sends the deposits over to QB.  The cash & checks are put into the Undeposited Funds account.  The credit and debit cards are also sent to Undeposited Funds, but they used to be sent directly to our bank account by changing the mapping.  However, when I change the mapping, it switches back to undeposited funds.  They are journal entries.

 You changed the mapping in the POS program? 

Did you, somewhere along the way, make changes to your bank accounts in QB's?

Yes, I changed the mapping in the POS program, but when I go out and go back in it reverts back to the default of Undeposited Funds instead of our bank account.

No, I haven't changed our bank accounts in QB, because in the mapping area the bank account comes up on the list so you can pick it.  It just won't stay that way, which is why we're trying to find out why.

 From what you just said the changes are happening in the POS System, I would check with them - QB wouldn't be able to make changes in the POS system.  Is there maybe some sort of default?

The POS system is Quickbooks Point of Sale program.  But I agree I think the program has a default that won't allow us to change it, because it reverts back after I have changed it.  Even though it lets you change it.

Thanks for the help.  Guess I'll have to contact Intuit and find out.

Please call POS Support because there is a setting and it should be defaulted to your preferences.

 

Again its a push transaction but not 2 way process.

if you set your payments is defaulted to a bank account in QB it should work as well and not go to Undeposited fund.

I agree that there must be a default that I'm not seeing that needs changed.  Because the mapping isn't working to have it deposit to our bank account.

It says it can't change because of the Merchant Services reconciliation, but we don't care to reconcile that way.

i believe the merchant services reconciliation refers to if your merchant deposit your money by batch. this will help to reconcile ur account more efficiently.

it depends if your merchant forward your money right way which in your case it has the same process.

I agree that this would probably make the reconciling more efficient and easier, but that isn't what we want to do.
