Chart of Account Numbers for Non-Profits

US QuickBooks Premier : 2012: Nonprofit

I just downloaded QB2012, non-profit addition. The numbers in the Chart of Accounts don't match the UCOA numbers for non-profits. The sample non-profit company in QB does have account numbers that match UCOA. Why the difference and can I load the same numbers as in the sample company?

The solution

 Hey Bridgeann,

Depending on what type of nonprofit organization you selected when you were setting up your "company" in QB you'll have a different chart of accounts. For example, if I select religious or church organization I'll get a different chart of accounts than if I were to select a different type of nonprofit organization.

You can definitely load the same chart of accounts numbers as in the sample company. You can do this my manually adding the accounts you want from the sample organization to your nonprofit's chart of accounts (COA). Or you can export the COA from the sample organization File>>>Utilities>>>Export>>>Lists to IIF files. Once you have the file saved on your hard drive somewhere open up your nonprofit organization and import the IIF file (File>>>Utilities>>>Import>>>IIF Files).

The UCOA is a chart of accounts that was created by a bunch of CPAs in California. It's a good idea, but in some situations it really misses the boat or is overkill. It doesn't fit a lot of situations.

Hope that helps.

NateW - you're fantastic!  I am very new to this process; had trouble importing initially because of error - "can't change type of account."  I deleted some of the original accounts and the import worked!  We are a very small 501(c)(3) organization just getting started.  I am using the Unified Chart of Accounts that is cross-referenced to the 990 and 990EZ forms.  If you think that may be a problem, please let me know.  And again, thanks so much!

Thanks Bridgeann. Glad I could help.

I don't think using the Unified COA is a bad idea, but as a small nonprofit organization just don't be surprised if you don't use all the recommended accounts.

Good luck.
