I don't know what AIA is, but you can create Certified Payroll reports in QuickBooks.
From the reports menu choose Employees & Payroll | More Payroll Reports in Excel | Certified Payroll Report.

AIA forms are a billing form for contractors. And the certified payroll forms in QB 2012 Contractors Edition is going to be of no help as it does not break down fringe benefits as required.
If you have AIA form completion questions or certified payroll form requirements let me know what your questions are and I can help.
It breaks them down with some some detail. How do they need to be broken down?
Lots of extras especially if your a union contractor. They must show employees number of exemptions, work classification (Journeyman Carpenter, or Apprentice and stage)gross wages for that specific project AND total hour all projects. Must show all deductions of taxes and union benefits by item such as vac/hol, pension etc. Also must list the check numer paid and the contract number for each specific project.
There must also be a certification below each report that certifies under penalty of perjury that the records are true, etc and how many pages are being submitted for that pay period.
Also, if you have no payroll for that week, you must submit a "Statement of Non Performance" and each worked week must have a "Statement of Compliance" attached.
Most of this is already included on the Certified Payroll report, but because the DOL does not require it for a Certified Payroll the two items noted that aren't handled are the number of employee exemptions and the details of deductions & benefits.
I can't actually see a way to create such a report in the general layout of the DOL report that would be readable, as there could be many deduction, many benefits, and many taxes. If each had their own column on the report, it would be so wide that a printable version would appear tiny and unreadable. However, there are other reports in Quickbooks which you can print that have this information, in a diffrent layout. (But they don't have the other information included on the DOL report.)
We set it so the benefits sit directly under the tax lines so the report becomes wider, not longer. I appreciate the info, but it still means I have to do it manually in excel due to the requirements of owners. Maybe in the future some updates can be made in quickbooks to manage our union requirements as well?

I would love to see a sample of a completed certified payroll containing the correct information. I did fill out one before (not QB) thinking I could submit it but I was told it wouldn't be accepted unless it was on the form (347? it think).
What I need is a course on filling out AIA's and doing certified payroll since we are starting to bid some commercial jobs.

I have the same questions as Linda. Just now bidding for federally backed work so certified payroll and compliance with Davis-Bacon are now coming into play. Feel I understand what is asked but not sure how to provide through QB.
I could use an example generated through QB.

If you have Enhanced Payroll & the Premier or Enterprise version run a sample with your own payroll data {even if it's not a job that needs certified payroll} - when working with your own payroll numbers it will make more sense - because you can see what is being put where.
To to the Reports menu -> Employees & Payroll -> More Payroll Reports in Excel -> and Certified Payroll Report.

If you are a non-union contractor I may be incorrect about your requirements. If you are union, I am absolutely correct about the requirements and that QB's certified reports are not acceptable and will be rejected.

You are correct in the fact that QB's certified reports don't always meet the needs of everyone.
Out of 50 states:
There is no single certified payroll reporting form that can/will meet the requirements in all 50 states.
For the kind of functionality that many of you are talking about in this thread you will need a 3rd party application that can handle any/all of the various requirements - including electronic filing. Look for apps that were designed especially to handle prevailing wage and Union Benefit tracking at the Intuit Marketplace. Yes, more money for you to spend but less data manupulation and headaches in the long run.
The same goes for AIA billing - the QuickBooks progress invoice is "close" but does not provide all the necessary information or in the correct format. The QuickBooks Estimate & Progress invoice can however provide not only your accounting data but serve as the "backbone" for AIA billing as well - visit the Intuit Marketplace for programs to help you.



AIA forms, similar to the IRS forms, include information sheets and examples. Whoever you are working with that is the AIA member, ask them for this material or have them review it with you.
