Backup error: some sales orders or estimates may be incorrectly marked as closed or display incorrect invoiced quantitie

US QuickBooks Pro for Windows

I am getting the following problem message when backing up to local file:  " some sales orders or estimates may be incorrectly marked as closed or display incorrect invoiced quantities". 

I run a rebuild but still get the same message.  How do I figure out what is causing this message?  I do not know of any errors in my invoices or estimates, and I believe they all match (estimates to invoices).  I cannot seem to find the ones the system is considering a problem.  If I could find those then maybe I could figure it out.  anyone have any advice?

I just found this post and currently I am verify data. I will update if this works.

"Determine if a sales order has been closed incorrectly

To identify if your company file has Sales Order with this problem you need to run the verify utility. In order to run verify utility, click the File menu, then click Utilities and select Verify Data.

Allow the Verify to proceed.

NOTE: The Verify process can take up to several hours depending on the size of your company file.

If you recieve a warning that says "Some Sales Orders or Estimates may be incorrectly marked as closed or display incorrect invoiced quantities" then you will need check the QBWin.log file for a list of incorrectly closed transactions. For detailed instructions, refer to Generate a list of sales orders or estimates that were closed incorrectly."

The solution for this is to edit the transaction and add a new line to the end of the transaction. You can do this without changing the amount of the transaction by scrolling down to the bottom of the transaction and adding a new line item with a character such as a period in the description field and recording the transaction. Then do a rebuild on the file and another verify to make sure everything is fine after that.

To locate the transactions examine the few lines following the error "Error: Verify Target: Invalid open quantity: Target ="  in the qbwin.log to get the transaction type, date, and doc number. Then do a find in QuickBooks using that criteria. If there are only a few transactions involved it should not take more than a few minutes to resolve. The qbwin.log can be found by pressing the F2 key while QB is open on the screen to bring up the techhelp program and then selecting the qbwin.log file from the open file tab.

There is also a program offered by quickbooksrepair.com  that will read the log file for you and then locate and edit each transaction automatically if you have a large number of transactions causing the problem http://www.quickbooksrepair.com/openquantitytool.html

I am also getting this error in QuickBooks 2011. 

I tried 'repairing' the first couple of estimates in the QBWin.log, ran rebuild, ran verify (and got the error message still, since I didn't 'repair' all the estimates yet).  But when I reopened QBWin.log, those first two estimates were still there.

And I have dozens and dozens of errors listed in the log.

There is someone selling a utility that will fix the error, but I'm doubtful that - if I can't fix them manually - how will this utility be any better?

This appears to be something that started with our forced upgrade to QB2011.  Can anyone help?

After repairing the first few did you close QuickBooks and restart it? If not then you need to scroll down farther in the qbwin.log to get to the information about the rebuild or verify that were run after you made changes to the estimates. When rebuild or verify are run the errors are appended to the qbwin.log file so anything already written to the log will still be there. If you close QuickBooks, the program not just the data file, a new qbwin.log file will be started the next time QuickBooks is started.

You're right, Kiwi.  I didn't notice it was appending to the log.  When I check the most recent rebuild, the two I 'fixed' are no longer listed.  So it does appear to be working!

Now I just have to decide if it's worth 'fixing' dozens and dozens of ten-year-old estimates.

Why doesn't Intuit buy this repair tool:  http://www.quickbooksrepair.com/openquantitytool.htm... and make it available to users to fix the problem they created?

I wanted to follow-up and thank kiwilime for their assistance.  Although this was a bit of a PITA to "repair," I was able to get to a point where QB2011 can now properly verify our company file.

Most of the 'fixes' were simply adding one additional line of text to an estimate with a simple period in the field.

There were another half-dozen errors that took further adjustments.  It turns out that QB does not like it when we would put in a quantity of 12 and an amount of $0.00 in an estimate.  It was our way of showing clients that we were contributing 12 hours at no charge to the project.  Once I changed those into text-only lines, verify was happy.

So nice to put this effort into "fixing" ten-year-old estimates.  :)

There is simipler solution.  If you are running muti-user mode, try back up from a different PC to see if you are able to do that, it worked for me.  Then import the data back to QB file location.  In general, I think the QB software still require few more updates especially dealing with multi-user modes.
