Important Announcement! A planned system-wide upgrade will take place over the Memorial Day Weekend in the US (From Thurs, May 24, 2012 at 6 pm PDT thru Tues, May 29, 2012 at 5 am PDT). This includes QuickBooks, QuickBooks Payroll, Point of Sale, & Salesforce.com. This is only for US based products. This does not affect QuickBooks Online customers! During this time, you can shop, but can’t place orders online, activate products or update account info. We apologize for the inconvenience & thank you for patience while we improve our infrastructure to better serve you. International versions are unaffected. For more info, see our community discussion.

associate a bill with a check

I entered a check that appeared on my bank statement and cleared it when I reconciled. Now I see I did not enter the bill for which I wrote the check, so the account shows a credit on that vendor. How do I apply that check to the bill?

The solution

If you have the bill in place the check needs to be coded to Accounts Payable with the name of the vendor in the customer:job column.  You can then go to Pay Bills from the home screen and apply the credit that is sitting there to the bill that needs to be cleared.

For the Vendor Balance is the amount zero? or a negative?

If the balance is zero (showing both the bill and the payment) follow the advice of 2BTRUSTED. Go to Pay Bills, choose the Bill and Click on Apply Credits.  Save and close.

If the balance is negative you will need to enter a Bill first and then go to Pay Bills, etc.

Thanks for being part of the QB community. Please let me know if this helped, by checking the solved button. If it hasn't helped, please post again.
Regards, Liz
