Accountant's copy help

I recently made a QB accountant's copy for my accountant to review. This was just for informational purposes and no changes were made or suggested nor was the Acc. copy imported back into my QB program. I just noticed today that my working file says at the top in parentheses (Accountant's Copy Exists). I assume I am working still in my regular .QBW file and I did a search and no .QBA file exists. How do I get rid of that (Accountant's Copy Exists) at the top of my screen? I do not intend to merge anything at this time from my accountant. Also, can anyone tell me why my my acountant has to use my password even to open the Accountant's Copy much less the .qbw file I have made for him in the past? Thanks,Randy

I did end up doing that and everything is fine now. I just wasn't sure if that was what I needed to do. I thought maybe that function was only if I had merged the two files. Thanks for your help.

I received my accountants changes by e-mail and want to import them into my books. When asked to back-up first, I backed up On-line, which is the only way I can. The import function doesn't recognize the back-up and will not let me import my changes. Please help.

We gave an accountants copy to the accountant last year and never received the copy back to impot . As a result of that what can be done to make another copy for the existing years taxes ? ? ?

Hi DarrellE,
Thanks for your post.  You can create another Accountant's Copy by clicking on File/Accountant's Review/Create Accountant's Copy.  However, if you do this, the old Accountant's Copy will be rendered invalid, and can no longer be imported. 
You might check with your Accountant to see if he or she intends to return the old copy to you.  QuickBooks will only allow one Accountant's Copy to be "out" at a time - so how to proceed from here is a decision that you should make with your Accountant.

We are currently using QB Pro 2005. We created an accountant's copy which I have been using to enter journal entries along with adding 2 accounts to the Chart of Accounts. I followed the instructions for exporting file for the client with no problem. I saved the file to a flash drive and prepared to import on our master computer. When I try to import, an error message appears stating "error on line 30: imported account has a duplicate account number". The message then states the import function was unsuccessful and no accountant changes were made. I thought the problem might be the file extension. It was originally saved in the .aiff format. I fixed that problem and I am still getting the same message... No other information was provided as to the cause of the problem and I am hoping someone else has encountered something similar. I have searched all the accountant copy issues I can find with no luck. Any help/suggestions will be greatly appreciated!

Is it possible that one of the accounts that you added to the Chart of Accounts has a duplicate number to one that's on the master QB file?

Thanks for your reply CJ. Yes, I thought about that and cross referenced each account from both files and nothing showed up. We had added "account numbers" to each file to make it easier to code expenses and I thought that might be the problem... we removed the numbering from the master file accounts... again with no luck. The same message keeps coming up. When I talked with support about it, they did not have any suggestions other than an account number has been duplicated. I'm wondering now if I can delete all the accounts from the master file and hope the accountant copy accounts will merge, but am a little reluctant to take such a drastic measure. Any help here will be greatly appreciated!!!

An accountant's copy was created by accident and without realizing that, the user continued using the accountant's copy on his home computer. After trying to add some accounts, we received a message that we could not add these in the accountant's copy. How do we cancel the acct's copy without losing the changes that have been made and transactions that have been added? I have tried to merge and had no luck with that.

I am attempting to create an Accountant's Copy using Quick Books Pro. Whenever I attempt to save the AC to my cd or 3.5 disk, I get a message saying "You do not have permission to open this file. See the owner of the file or an administrator to abtain permission." How do I solve this problem so that I can get my info to my accountant? I am having the same issue when I attempt to backup my data to a cd or 3.5 disk.

I have tried to save an accountant's copy to my flash drive. I find no where on the Pro series that will let me "save" this file. What am I doing wrong, do I have to try and save it through Windows explorer and if so, how?

Hello,

To save an "Accountant's Copy" go to File->Accountants Review->Create Accountant's Copy. Then select where you want the file to save. I usually select the desktop and then copy the file to my flash drive.

Caleb,
I am having the worst time with this. I have tried saving it to my desk top and then when I try to open it, I get this error message telling me that it can't open this kind of file. I even had my client email me with the file as an attachement, I saved it to my QuickBooks data folder and then when I go into windows explorer to find it, it isn't there. If I try to open the attachment, I get the same error message telling me it can't open this kind of file, even if I tell the computer it is a QB file.
What in the world am I doing wrong?

Hello Candy,

Hmm. Can you check the extension on the file? Does it end in "QBX?" To open a QBX file you would need to open it via File->Accountants Review->Start Using Accountant's Copy.

Another question is what year is your QuickBooks and what year is your clients version of QuickBooks?

If you can answer these questions that would help us all out a lot.

I finally had to call QuickBooks. The problem was (very dumb on my part), this is a new client and I had not loaded her file on my computer at all, so I didn't even have the qbw file for the accountant's version to work. She is going to try and email it to me, but I bet it is too big. So I'll take my flash drive over and try and save the qbw file to the flash drive, hoping it works this time. We both have 2006 Pro and I also have 2006 accountant's version.
Thanks for trying to help me, sometimes my brain goes into malfunction!

I have just taken over as the accountant for a small company. I have loaded the Quickbooks program onto my computer and my boss has sent me a copy of the exisiting file, when I try to load it I can only get an Accountant's copy that will not let me add new customers. I am fairly new to this program so not sure how to proceed with this.

I don't know for sure, but I am guessing he only sent you an accountant's copy. Your file should have as the extension either QBW or QBB, if it is a backup file. Which when you open it, will expand back to a QBW file. Check the extension and see what it says. You may have to have him send it again as a backup file.

When I try to save the accountants copy to my 3.5 disk as I have in years past, it says the file is too large and won't let me proceed. (In the past, it prompts me to put in another disk after the first one is full) It won't let me this year. Thanks
