Batch Billing for Law Office

How can I send out a large batch of invoices for time and expenses each month without having to check them off one at a time in the Invoices for Time/Expense field? I just want them all to auto bill for the month.

It's a shame to abandon Timeslips because of lack of training, but sounds like you're already down that road.

Amicus can do billing and has an accounting link - I assume it has an automatic link to QB - so again, you wouldn't be doing the billing in QB, just collecting the financial part there.  You are right - your best bet is to hire an Amicus consultant who has experience with QB. 

I do know a couple of very sharp gals who do both (they also happen to do Timeslips), but no one in Kansas.  But with remote access, location is not a problem.

You would need to get an add-on for this - or an industry specific software.

Start with intuit.marketplace.com

Do post back with your findings.

We already have TimeSlips for billing; I just want all the invoices to auto bill each month.  I assume I cannot use memorized transactions???

Memorized transactions would only work if the details and dollar amount was consistent each month.

Can you send invoices from TimeSlips?

I'm certified in both QB and Timeslips and I'm a little confused by your original post.  If you're using Timeslips for billing, there's no need to create new invoices in QB.

Are you familiar with the TAL or TALPro links? 

TAL (Timeslips Accounting LInk) is a one way street that sends your payment and/or invoice info from TS to QB in the form of journal entries, not detailed by client

TALPro is a two way street that can create expense slips in Timeslips from expenses, Synchronize clients and send A/R detail to QB by client.

I forgot to ask:  does this mean that you're entering time in both QB and Timeslips?

Sorry for the vague question.  Currently we are entering time in Amicus and then we post to Timeslips and run statements from Timeslips.  I use Quickbooks for all accounting, trust tracking, bank reconciliations, etc. and when a customer pays, I just enter it in make deposits and offset to legal fees.  Now we are going to link Amicus to QuickBooks so we will continue to enter time in Amicus but will have it post to and bill out of QuickBooks.  I code checks as items with attorney as the class and customer as the job so I can add those items to the invoice and I see the tab Invoices for Time and Expenses and have it set to include all expenses.  We have over 500 invoices each month and I do not see a "Select All" option to bill the invoices.  Do I have to create each invoice one at a time or do I have another option?  We have not done the conversion yet, but will in the next few weeks.  Thanks for any help you might be able to offer.

Unfortunately there is no way in QB to do a mass "generate bills" like you do in Timeslips.  And with that number of invoices, I would say that's a deal-breaker. 

I would encourage you to stick with the amicus/Timeslips link, continue doing the billing in Timeslips and explore the accounting link from TS to QB for the accounting side of it. 

If you're on a cash basis, you can set it up to just send payments from Timeslips and you can set it up to send to specific income accounts by attorney.  If you have to do the attorney split by class rather than account, I'd probably recommend doing a month end journal entry to divy up the collections by attorney which is info you can get out of Timeslips.

You may want to consider bringing in a Timeslips certified consultant.  I know a lot of them - where are you located?  Or if you don't have anyone local, I can work remotely.

Also - in answer to your other question about receiving payments against expenses first and then fees, Timeslips can do that automatically and send the correct split between expenses and fees collected to QB.

Sorry for the delay in response - I am only here three days a week.  I am discouraged with your reply.  I know these guys are going to do the conversion due to constant billing problems with Timeslips.  We are in Kansas.  Maybe we need an Amicus consultant....do you know any?  Otherwise, I will forward your response to a partner here but they have upgraded the QuickBooks and the Amicus, so I am pretty sure they are going to be set in their thoughts about the conversion.

Another option is to use Amicus for billing and enter monthly adjustments to income and A/R without customer detail in QuickBooks.

These guys have invested in the network and upgraded the QB and Amicus all just to do the billings out of QB.  This problem is compounded by the fact that I only do the QB; another person does the Timeslips.  I am sure she has never understood the Timeslips and I have never worked on Timeslips, so the partners have decided to have me do the billings in hopes of eliminating the monthly errors.  That's my problem in a nutshell.  This situation prompted the owners to by-pass the Timeslips and just enter their time in Amicus and then post to QuickBooks.  While I understand from the other responses it would appear we could do a lot more with Timeslips than we are, the fact is I would have to learn Timeslips from a 17 year veteran employee who does not understand the program.  It would seem to me the best solution would be to get a QuickBooks/Amicus certified person to help us either remotely or on site.  Any other suggestions would be greatly appreciated.  I am swimming solo on this massive conversion and really need some help.  Thanks!!!

It sounds like you could use someone with Timeslips and/or Amicus experience.
