I'm sorry to report there's not a way to add more fields to an employee file.  There are a couple of workarounds you can explore, each having its own drawback:

  • Combining like items on the wage/withholding screen going from specific to more generic
    • Only combine items with like tax treatments
    • Comparative payroll reports would lose their significance
  • Setting up a new employee record
    • You have to be careful of tax limits that are reached, because with two separate records the limit might not be met whereas in reality the employee may have met the limit.  This involves manual tracking of limits and then disabling the tax calculations by removing the tax codes.
    • W-2 forms must be manually consolidated at the end of the year (in the Information Return System)

Our office is likewise running out of fields on a number of clients.  Six pays/withholdings just does not cut it when you have to deal with and track regular, overtime, sick, vacation, tips, bonuses, employer HSA contributions/fringes, and on & on.  Having the HSA/fringe contributions be one-sided, and letting the program gripe about net pay being out-of-balance, starts wearing thin after a while.  So, any chance of getting the fields bumped up to at least 10-15 each when the new version comes out?  You could always give us the option of how many pay/withholding fields to show (5/10/15 radio toggle) if concerned about complaints of too many fields cluttering the screen for those that do not need them.
