Synching memorized transactions with ical in QB09

US QuickBooks for Macintosh

I want to do have ical alert me on the first of the month to send out a few invoices. However, I am unable to add a memorized transaction to ical. How to accomplish this? I'm running R5. I know there were issues with R4, which were supposedly addressed.

When I click "Show In ical" while memorizing a transaction, I get the error "The file is already linked to another calendar. By creating the new iCal event you will be unlinking the original calender. This will remove any existing references to the original calendar."

This needs explaining. What file, the QB09 file? How do I find which calendar the file is linked to?

Then I click OK and get the error "The title Digicraft is already in use. The title of a calendar must be unique."

I don't have a calendar called Digicraft. Is it trying to make a calendar with the name of my company? Seems like it, buy these alert/errors are difficult to understand.

After clicking ok again, I get another error dialog box, "The (null) calendar was not found. You cannot add, remove, or modify events in the (null) calendar."

Can someone show me how to add these to ical?

Also, can I delete memorized transactions? There doesn't seem to be a way to do this.

To delete a memorized transaction: Lists->Memorized Transactions. Select the transaction you want to delete. Edit Menu->Delete Memorized Transaction.

By "the file" it does mean the QB09 file. It can only be linked to a single calendar. iCal supports multiple calendars. Open iCal and the Calendars list should show up in the pane on the top left of the window. QuickBooks seems to think you do have a calendar named Digicraft and that appears to be causing the trouble.

Note that the calendars in iCal may not all be visible - it is an outline list. Make sure all the disclosure triangles are pointing down (the little gray triangles) and that there isn't a Digcraft calendar anywhere in there already in use.

Hope this helps - I'm asking some other people to see if they have any ideas.

No Digicraft calendar. I deleted iCal cache, which often solves these things, but it didn't work.

QB should have a preferences pane (associate this file with this calendar). Actually multiple calendars would be best.

I will continue my search, what a pain.

Thanks for the info about deleting memorized transactions, strange that it's a menu item but I found it.

Figured it out. I renamed my company from Digicraft to Digicraft2. Then I was able to add memorized transactions to ical. Next, I renamed my company Digicraft. events seem to show up in ical just fine, although I haven't used this feature much so we'll see.

Don't know whether this will help, but you should update to R6. It was issued in April.
