customer paid with credit card but balance looks like it hasn't paid

my customer paid with a credit card and it shows as the payment applied but her balance shows as if she did not pay and the money did not go into my bank account...help

Hi MLHWellness,

Did you create an Invoice for the Customer?  When you create an Invoice, you must use Receive Payment to record the payment.  Go to Customer > Received Payment.  By using Received Payment, this is mapping the payment to the Invoice.  If Invoice is being paid in full, the Invoice will be marked Paid.  But, you must use Received Payment feature.

The above shows how to affect the Invoice.  The second issue you have, payment not showing in the bank account - The payment probably is in Undeposited Funds Account.  Your next step is to deposit the Undeposited Funds into the bank account.  Go to Make Deposit, the Payments Received window appears which is holding all your payments.  Select the payments that are listed on the deposit slip, click OK.  Now the Make Deposit screen appears with the bank account open.  Make sure the total matches the total on the deposit slip.  Click Save & Close.

i did use receive payments...that is why i'm so puzzled. i swiped her card into my computer using the card reader and it says it made the payment. it was all done in receive payments...i'm totally puzzled as to why this is happeneing because i took a payment from this same person before with no problem

yes, invoice then i did receive payments and swiped the card and it shows the payment but didn't change her balance or go to my bank account

Hi MLHWellness,

Go to Customer Center and highlight the Customer.  Her balance did not change?  Is the payment in Undeposited Funds?  You should be able to see her register in this screen which would show that you received a payment.  Another thought, are you sure you selected the right Customer?

YES THIS IS THE CORRECT CUSTOMER AND THE PAYMENT IS IN UNDEPOSITED FUNDS AND NO  HER BALANCE DID NOT CHANGE.....THAT IS THE WHOLE POINT OF WHY I WROTE IN FOR HELP....THAT IS ALL CORRECT AND I DON'T KNOW HOW TO FIX IT BECAUSE THE CREDIT CARD PAYMENT SHOULD HAVE GONE INTO MY BANK AND IT DID NOT. THIS IS NOT SOLVED. ALL WE HAVE DONE SO FAR IS CLARIFY MY PROBLEM AND QUESTION

The solution

 

Excuse me, MLHWellness but we have to go through each steps to make sure that you have followed each step correct before you can determine what went wrong.  Since we can't see the file, we cannot just assume that you do things the right way so there are times when need to ask questions.

For example, I don't understand why you say the payment is in Undeposited Funds then say it always goes to my bank account.  This statement kind of tell s me that maybe you don't understand how the Undeposited Funds Account works.  So I'm trying to figure out, without seeing what is happening, what went wrong.  If the payment is in Undeposited Funds, then you received the payment and you have to do the next step which is move the funds out of Undeposited Funds and deposit it into the Bank Account.  Why the Invoice is not paid, I don't know.

hi sorry it probably looked like i was yelling cuz it was all caps...LOL not my intention. i think it was just a computer glitch. it never resolved but the problem never repeated so i got her to pay again and moved on. thanks!
